Conga IdP Users – Login and Account Considerations
The login method for Conga IdP users changed from username-based authentication to email-based authentication on November 2, 2025.
In certain organizations, users may require multiple user accounts registered with the same email address within the same organization. This commonly occurs when a user holds distinct roles or participates in different projects that necessitate separate accounts. For this, Conga IdP supports the use of email aliases during account creation. This functionality ensures that multiple accounts can be added and managed without conflicts while maintaining clarity and consistency in user records.
User can use Organization Switching feature when they are registered with the same email address across multiple organizations.
Primary and Alias-Based Login Mechanism
Primary User Account Login:
The most recently created account associated with a given email address is designated as the primary account. Users can log in to this account using their standard email address without the need for an email alias (username).
For example, if a user's email is johndoe@abc.com and the latest account created is linked to this email, the user can log in by entering johndoe@abc.com.
Login for Other User Accounts:
Previously created user accounts require users to log in using the email alias entered in the username field. This ensures that each user account remains uniquely accessible, even when multiple accounts are associated with the same email address.
By default, the Username field is auto-populated with the value from the Email field.
However, if you want to add a user with the same email address, you can create a
unique username that forms an email alias using the following format:
[first_part_of_email]+[username]@[company_domain].
For example, if your email address is johndoe@abc.com and you want to add a user
for approver purposes, you can enter approver as a username in the following format: johndoe+approver@abc.com, which the user can use to
log in.
Example Scenario: Refer to the example below where three user accounts are created in the same organization using the same email address at different dates and times. The example also shows which email address users should use to log in:
| Email Address | User Account Created On | Email Alias (Username) | Email Address Used for Login |
|---|---|---|---|
| johndoe@abc.com | 2025-09-15 19:55:04 | john-approver | johndoe@abc.com |
| johndoe@abc.com | 2025-07-04 08:07:45 | john-reviewer | johndoe+john-reviewer@abc.com |
| johndoe@abc.com | 2025-02-15 19:55:04 | john-legal | johndoe+john-legal@abc.com |
User Account Creation Requirements
The system requires a unique email address or alias within the organization during user account creation.
If a duplicate email or alias is entered, the following error message is displayed: "Account already exists for the email address in this org. Please submit a different email alias and try."
This ensures that every account remains distinct and prevents duplicates, even if you try to reuse an alias.
Important Notes
Login ID Notification: Upon user account creation, users will receive a welcome email containing URL, IdP, and Login ID. Users need to follow the reset password flow to create a password.
Primary Account Identification: The most recently created user account for a given email address is automatically considered the primary account, which can be accessed using the original email address without an alias.
