Conversations

Important: The Conversations feature is available only in the Modern UI and is not supported in the Classic UI.

Conversations allow you to communicate directly within supported records, keeping all discussions, decisions, and supporting documents in one central location. Instead of relying on scattered emails, calls, or separate tools, conversations provide a structured space for real-time, contextual communication between internal teams, such as Contract Managers, Legal, Compliance, and external participants like auditors or partners.

Supported objects include:

  • Agreement
  • ContractRequest
  • SupplierRequest
  • Account
  • Supplier
When someone @mentions you in a conversation, Conversations shows visual indicators so you can quickly spot the threads and messages that include your mention.
  • Thread list (left panel) - An @ badge appears on the thread row when you are mentioned anywhere in that thread.

  • Thread view (message details): An @ badge appears on a post or reply header when you are mentioned in that specific post or reply.

  • Message content: Your @mention text is highlighted with a distinct background styling in the message content for you.

A conversation groups all messages related to a single post on a record. Each conversation contains:

  • The original post
  • All replies to that post (from the application or email)
  • All attachments shared in the post and replies

Conversations are:

  • Linked to a single object record, such as a contract
  • Accessible from the record's Conversation page
  • Used to track communication history in one place

The response count on the left panel reflects only replies, not the original post.

Key Features
  • Conversations: Start a conversation on any record (for example, contract, contract request, supplier, supplier request, account), post messages, and reply to comments.

  • Mention indicators: When someone @mentions you, a @ badge appears on the thread in the left panel and on the specific post/reply header, and your @mention text is highlighted for you. Only internal users can be @mentioned. Type @ in the rich text editor to tag.

  • Attachments and Formatting: Include files and use rich text formatting to provide clarity.

  • Participant Management: Add internal users, user groups, contacts, supplier contacts, and external users, and receive notifications when participants are added or removed. The notification email sent to a newly added participant or Conversation owner includes the full conversation history, enabling them to review prior discussions directly from the email.

  • Audit Trail: All messages, decisions, and attachments remain linked to the conversation throughout its lifecycle, providing transparency and compliance support.

To access Conversations, the administrator has:

My Conversations

The My Conversations view provides a centralized page where you can access and manage all conversations you have initiated, participated in, or been mentioned in, regardless of the originating record. Instead of navigating to individual records (Agreements, Contract Requests, Supplier Requests, Accounts, or Suppliers), this view brings all your relevant conversations together in one place.

Navigate to Conversations > My Conversations. to view a list of conversations with the following columns.

Clicking a Subject link opens the conversation in-context within its parent object record, directly opening the Conversations panel.

My RoleDisplays owner if you initiated the conversation; otherwise displays participant.
Post MessageShortened content of the original post message (hover to view full message).
Latest ResponseShortened content of the most recent reply (hover to view full message).
Last Updated ByUser who last updated the conversation.
Last Updated OnDate and time of the last update.
Entity TypeThe type of record the conversation is linked to (Contract, Supplier, Contract Request, Supplier Request, Account).
Entity ID

Functional ID of the linked record. The value shown depends on the Entity Type field.

  • Agreement displays the contract number
  • SupplierRequest displays the request number
  • Account displays the account number
  • Supplier displays the supplier code
  • ContractRequest displays the Object ID. Contract Request does not have a functional identifier; the system displays the object ID instead.

Clicking the Entity ID link navigates to the associated object record (for example, the contract record).

ParticipantsList of participants in the conversation.
AttachmentsFiles attached to the conversation.

The My Conversations list page displays only the conversations that you initiated or are a participant in. Use the All and Unread options in the upper-right corner to filter this list:
  • Unread: Enabled by default. Displays only conversations with unread messages.
  • All: Displays all conversations regardless of read status.
Note: Conversations with unread messages are visually highlighted (bold title) in both the All and Unread views.
A conversation is automatically marked as read when you open the conversation thread. This applies whether you navigate from:
  • The Conversations list page (My Conversations)
  • The record's Manage Conversations button.
  • A conversation link in an email notification.

Search, Sort, and Pagination

Search: Use the search bar to find conversations by:

  • Entity Type (Contract, Supplier, Contract Request, Supplier Request, Account)
  • Entity ID (functional ID such as Contract Number, Account Number, Supplier Code, and so on)
  • Role (Owner or Participant)
  • Subject (full and partial match)
    Note: Currently, search is not supported for the Post Message and Latest Response fields.

Sorting: Sort conversations by Newest or Oldest. Sorting is supported on Conversation Thread object fields such as Subject, Last Updated On, Last Updated By, Created On, Created By, Entity ID, and Entity Type.

Pagination: Default page size is 25 records per page. Horizontal and vertical scrolling is supported, including when additional columns are added.
