Recycle Bin

The Recycle Bin provides a centralized repository for managing soft-deleted contract documents, enabling administrators and compliance auditors to inspect deletion metadata, download historical files for verification, and control permanent purge cycles.

The Recycle Bin lets you view, download, and permanently delete soft-deleted contract documents. Deleted documents cannot be restored.

When you delete a contract document, it is soft-deleted and moved to the Recycle Bin instead of being removed immediately. From the Recycle Bin, you can review the deleted document, download it, or permanently delete it. The system automatically purges deleted documents after a retention period configured for your tenant.

You can adjust column visibility, apply filters, save filtered views, and sort records on these tabs. For more information, refer to Custom Views and Personalization.

Viewing Deleted Contract Documents

View soft-deleted contract documents and their details in the Recycle Bin.

The Recycle Bin allows you to view contract documents that have been soft-deleted, including who deleted them and when they will be permanently removed.

Admin users see all deleted records; non-admin users see only the records they deleted.

  1. Navigate to Recycle Bin in the left navigation pane.
    The Recycle Bin page appears.
  2. Review the list of deleted documents.
Each row shows the contract name, contract type, deleted by, deleted date, and available actions (download or delete).
  3. Click a document to open its detail page.
The detail page shows opens with an Overview section showing the document name, object, deleted date, and who deleted it, followed by a Record Details section with the document's metadata (including file object type, file size, document version, document type, and so on). The Expires field shows when the document is automatically purged.

Downloading a Deleted Contract Document

Deleting a Document Permanently from the Recycle Bin

Permanently remove a single document from the Recycle Bin.

The Recycle Bin contains at least one document.

This task explains how to permanently delete a document from the Recycle Bin.

  • Empty All Recycle Bin (admin only) permanently deletes the documents deleted by all users.
Warning: Emptying the Recycle Bin is permanent and cannot be undone. When no records are available, both options are disabled.
  1. Navigate to Recycle Bin in the left navigation pane.
  2. Click Empty My Recycle Bin or, as an admin, Empty All Recycle Bin.
  3. In the popup window, depending on the selected option, click Empty My Recycle Bin or Empty All Recycle Bin.

Use Case: Viewing and Downloading Soft-Deleted Contract Documents

This use case demonstrates how a contract administrator views and downloads soft-deleted contract documents from the Conga CLM Recycle Bin for legal compliance verification without restoring contract records.

  • The Recycle Bin feature is enabled for the tenant.
  • One or more contract documents have been soft-deleted from Conga CLM.
  • You have role-based access permissions to view the Recycle Bin.

This use case provides an example of how a contract administrator accesses the Recycle Bin to view and download soft-deleted contract documents, and download files while an automated 30-day retention countdown is active.

Business Context

In enterprise organizations such as a tire manufacturing company, users frequently soft-delete contract documents by accident or during routine contract cleanup. Conga CLM moves soft-deleted contract files into a dedicated Recycle Bin while strictly prohibiting restoration to prevent reactivating expired or terminated obligations. Contract administrators can securely review deleted document metadata and download files to verify historical terms for legal compliance purposes while maintaining complete data integrity.

Actor

A contract administrator in a tire manufacturing company.

Scenario

A contract administrator needs to verify historical terms for a soft-deleted agreement (Master_Services_Agreement_v2.pdf, Contract Number CTR-2026-0891, Counterparty Michelin Solutions). The document was deleted by a sales user on 2026-06-15 and currently has 15 days remaining before auto-purge under the tenant's 30-day retention policy. The administrator accesses the Recycle Bin, reviews the metadata, and downloads the file for legal review.

  1. Navigate to Recycle Bin in the left panel.
  2. Locate the soft-deleted contract document Master_Services_Agreement_v2.pdf in the Recycle Bin repository.
  3. Review the metadata fields displayed.
  4. Click Download next to Master_Services_Agreement_v2.pdf.

The contract document Master_Services_Agreement_v2.pdf is downloaded to your local computer for review.
