Setting Up Obligation Management

To set up Obligation Management for Contracts for Salesforce, follow the steps below:

Prerequisite

Before setting up obligation management, you must have configured objects using the Automatic Configurator.

Agreement Lifecycle Event Setup

After you've completed the prerequisite, you can further configure your objects using the Agreement Lifecycle Event configurator.

  1. From Conga CLM setup, go to Agreement Lifecycle Setup > General
  2. Click Start Lifecycle Automatic Configuration
  3. Make your selections and click Run Setup

Create Lifecycle Events

After the Agreement Lifecycle Event setup is complete, you can create or delete definitions for a Lifecycle Event

  1. From Conga CLM setup, go to Agreement Lifecycle Setup > General
  2. Under Lifecycle Events, click New
  3. Make your Object, Type, Field, and Value selections in the New Agreement Lifecycle Definition window. For example, the definition will activate the Contract object if the status field is set to Activated :
    • Object: Contracts
    • Field: Status
    • Type: Activation
    • Value: Activated

Edit Lifecycle Events

You can edit Agreement Lifecycle Events after you've created definitions.

  1. From Conga CLM setup, go to Agreement Lifecycle Setup > General
  2. Under Lifecycle Events, click the pencil icon to the right of the definition you want to edit.
  3. Make your changes to the definition.
  4. Click Save.

Add Additional Fields

You can specify additional fields to include in Obligation Management.

Warning:
  • The additional field must already exist on the obligation and the managed obligation objects.
  • Only text and checkbox additional fields are currently supported.
  1. From Conga CLM setup, go to Agreement Lifecycle Setup > General
  2. Under Additional Fields, click Add Additional Fields
  3. Select the additional field from the dropdown menu.
  4. Click Save.

Create a Primary Counterparty Lookup

You can create a lookup to an object that is the counterparty for your agreement.

  1. From Conga CLM setup, go to Agreement Lifecycle Setup > Obligation Management
  2. Click Set Lookup
  3. Select an Object
  4. Select a Field
    Note:

    For example, you can select the Agreement object and the Legal Entity field if the Legal Entity is your counterparty.

  5. Click Save

Enable Obligation Management

  1. From Conga CLM setup, go to Agreement Lifecycle Setup > General
  2. Toggle the Enable Obligation Management button

View Associated Clauses

  1. From Conga CLM setup, go to Clause Library > Obligations
  2. Select an Obligation.
  3. Click the Related tab.
Under Clauses is a list of clauses associated with your selected Obligation.

Deactivating Obligations

You can deactivate an obligation so that it is still visible in the Clause Library but cannot be added to contract agreements.
  1. From Conga CLM setup, go to Clause Library > Obligations
  2. Under the Related tab, select an Obligation.
  3. Check the Inactive Checkbox.
  4. Click Save.
The inactive obligation will now be visible with a yellow warning sign next to its name. A warning message will display informing you that the obligation is inactive. You will not be able to add the obligation to a contract agreement unless you make it active again.

Enabling Inactive Obligations

By default, users cannot add inactive clauses or obligations to a contract agreement. You can choose to allow this by enabling the system to bypass the Inactive feature flag to find a list of inactive features to add to your Managed Obligation instead.
  • If Include only active Obligations is Disabled, then all the obligations linked to a Managed Clause will be added to the contract agreement after the agreement lifecycle event.

  • If Include only active Obligations is Enabled, then only the active obligations in an active clause will be added to the contract agreement. If a clause is inactive but has active obligations, then also those obligations will not be included.

Note: This feature is only available if the Enable Obligation Management toggle is set to Enabled.
  1. From Conga CLM setup, go to Agreement Lifecycle Setup > General
  2. Under Obligation Management, toggle the Include Only Active Obligations button to Disabled.
You can now add inactive clauses or inactive obligations to a contract agreement.

Enabling Remove Obligation Upon Deletion of Managed Clause

The Remove Obligation upon deletion of managed Clause feature automatically removes an Obligation from a Managed Obligation when the Parent Clause is deleted from the Managed Clause. If the feature is enabled when a user removes a managed clause using the Select Managed Clause button or using the delete icon in Salesforce in the Manage Clause table view, the managed obligations associated with it also get removed automatically.

This features works for both active and inactive managed obligations, and for active and inactive managed clauses.
Note: This feature is only available if the Remove Obligation upon deletion of Managed Clause toggle is set to Enabled.
  1. From Conga CLM setup, go to Agreement Lifecycle Setup > General
  2. Under Obligation Management, toggle the Remove Obligation upon deletion of Managed Clause button to Enabled.
There are a few limitations for loading the updated list after the automatic deletion for a managed obligation.
  • The Managed Obligation table will not automatically refresh. Users must refresh the page to see the updated list.
  • When you deleted a managed clause using the delete icon in Salesforce, then after clicking View ALL you must refresh the page to see the updated list.

  • Removing using the Select Managed Clause button will reload the page again by default.
