There are three ways to locate a workflow: (1) Search the Active Workflow Items portlet in your Dashboard (2) Search the Workflows section of the Workflow Profile in a Company or Contract Profile, or the Workflows screen in a Project Profile, or (3) Run a search query.

There are three ways to locate a workflow:

  • Search the Active Workflow Items portlet in your Dashboard to identify the workflows that name you as a member of the Workflow Team.
  • Search the Workflows section of the Workflow Profile in a Company or Contract Profile, or the Workflows screen in a Project Profile.
  • Create a search query.

Active Workflow Items Portlet

Using the four workflow views in the portlet, you can locate the workflows you have created, as well as those that include you as a team member. You can also locate the workflow steps that have been assigned to you for completion, and link to the Profile containing workflow. When you are assigned to a workflow step, you are the step owner and you must complete the step, or reassign it, if permitted.

  1. From the Active Workflow Items portlet, locate the workflow steps you are responsible for completing by scrolling through the list. The default view is My Steps, but you can click the My Team Workflows, My Workflows, or the My Workflow Steps tab. The My Workflows view shows the workflows that you have created, and the My Team Workflows view shows the workflows that include you as a team member. The My Workflow Steps tab shows the workflow steps that you assigned to yourself when you created a workflow.
  2. Click Go To envelope to link to the Profile containing the workflow associated with the step.

Workflow Profile or Workflows Screen

  1. Open the Company, Contract, or Project Profile containing the workflow.
  2. In the Contract or Company Profile, click Workflows in the toolbar.
    • In the Project Profile, click the Workflows link.
  3. In the Workflows section of the contract and company Workflow Profile, click on a workflow record to refresh the screen and display the steps in the workflow. In the Project Profile, click on the workflow in the Workflows screen.
    • From the Active Workflows (default) view, you can send a message for a step, approve or decline a step, complete a step, reassign a step to another user, send a reminder email message for the step, and close the workflow.
    • From the Completed Workflows view, you can review the workflows that have been completed for the contract, company, or project.
    • From the Documents view, you can associate documents outside the profile with the workflow.

Search Query

A search query to locate the contract, company, or project workflows created by a specific user is shown below.

  1. Click Search in the Navigation Toolbar, and select the Search Query link in the menu.
  2. In the Query Info view of the screen, click New in the toolbar.
  3. When the screen refreshes, set up one of the following hierarchies in the Result Type list to search for a company, contract, or project workflow:
    •  Company
      • Click in the list to display the hierarchy, and click the Company folder.
    • Company→Contract
      • Click in the list to display the hierarchy, and click the > icon to the left of the Company folder.
      • Scroll past the alphabetical listing of fields in the Company Profile, and click the Contract folder.
    • Project
      • Click in the list to display the hierarchy, and click the Project folder.
      • You can also drill down one more level and search for information on a workflow step, or drill down two more levels and search the activity for a flow step.
  4. In the Criteria section, set one of the following hierarchies for the company, contract, or project workflow in the field list:
    1. Company→Workflow→Workflow Owner
    2. Click in the field list to display the hierarchy, and click the > icon to the left of the Company folder.
    3. Scroll past the alphabetical listing of fields in the Company Profile, and click the > icon to the left of the Workflow folder.
  5. Scroll down and click the Workflow Owner sub-folder.
    1. Company→Contract→Workflow→Workflow Owner
      1. Click in the field list to display the hierarchy, and click the . icon to the left of the Company folder.
      2. Scroll past the alphabetical listing of fields in the Company Profile, and click the > icon to the left of the Contract folder.
      3. Scroll through the alphabetical listing of fields in the Contract Profile, and click the > icon to the left of the Workflow folder.
      4. Scroll down and click the Workflow Owner sub-folder.
    2. Project→Company→Workflow→Workflow Owner to search for company workflows in the project, OR
      1. Click in the field list to display the hierarchy, and click the > icon to the left of the Project folder.
      2. Click the > icon to the left of the Company folder.
      3. Scroll past the alphabetical listing of fields in the Company Profile, and click the > icon to the left of the Workflow folder.
      4. Scroll down and click the Workflow Owner sub-folder.
    3. Project→Contract→Workflow→Workflow Owner to search for contract workflows in the project:
      1. Click in the field list to display the hierarchy, and click the > icon to the left of the Project folder.
      2. Click the > icon to the left of the Contract folder.
    4. Scroll past the alphabetical listing of fields in the Contract Profile, and click the > icon to the left of the Workflow folder.
    5. Scroll down and click the Workflow Owner sub-folder.You can also search for a workflow by its name, description, and dates related to the workflow, as well as locate both active and completed workflows. For workflow steps, you can search by name, description, type, and several workflow activities, including status and completion information.
  6. In the Criteria section, define the operator and value(s) for the search:
  7. Select In in the inclusion list.
  8. Click v in the value list to use the Address Book to select the user's (owner's) email address.
  9. Enter the first few letters of the user's first or last name in the Search field and click the magnifying glass.
  10. Click the user's name to select him/her.
  11. Click Submit.
  12. Click Execute in the toolbar to run the query.
  13. When the Results view of the screen displays, click a search record to be directed to the Contract, Company, or Project Profile containing the workflow.
  14. Click Workflows in the toolbar of the Contract or Company Profile, or the Workflows link in the Project Profile, to displays the workflow(s) for the Profile.
