Roles

The Roles feature is a security measure that controls individual user access to Conga Contracts program features, as well as the data stored in the program.

  • Roles OverviewA role is assigned to individual users as a security measure to control a user's ability to administer program features, as well as grant access to restricted features and data stored in the program.
  • User Roles and Permission TypesPermission types grant users holding a role administrative permissions to program modules and access to modules that can be restricted. A role also identifies access to program data, the level of access, and the ability to upload documents to Company, Contract, and Project Profiles.
  • Locating a RoleExisting user roles are viewed and managed from the Roles screen.
  • Adding Role-Based SecurityYou need the List Admin, Additional Forms Admin, and Role Admin permissions to add security to a user role.
  • Adding a User RoleYou need the Role Admin permission to add a user role to Conga Contracts. Since there are 38 default permissions types, and five security groups with varying levels of access to program data and tasks, a role can be created using any combination of the permissions and access to security groups.
  • Copying a User RoleYou need the Role Admin permission to create a new user role by making a copy of an existing role, and then modifying the permissions. This option is useful if most of the same information for a new role is the same as an existing role.
  • Editing a User RoleYou need the Role Admin permission to update the permissions assigned to a user role, as well as the level of access to additional forms, document types, and individual company, contract, and project groups.
  • Deleting a User RoleYou need the Role Admin permission to delete a user role. However, a role can only be deleted if it has not been assigned to a user.
  • Viewing a Role's HistoryYou need the Role Admin permission to view a history of the changes made to any of the user roles that have been added to Conga Contracts.
  • Generating a Role and Permissions ReportYou need the Role Admin permission to generate a report showing all the roles that have been created for users and the permissions associated with each user role.
