Locating a Message

Email messages sent from a Company, Contract, or Project Profile are stored in the Messaging window in the Profile. The Recent Messages portlet in your Dashboard provides access to the email messages you sent, as well as those that include you as a recipient. A search query can be run to locate a specific message or all messages that share a common element.

Email messages sent from a Company, Contract, or Project Profile are stored in the Messaging window in the Profile. The original email message and the replies to the message are stored in a hierarchy so that the individual messages can be identified easily. The Recent Messages portlet in your Dashboard provides access to the email messages you sent, as well as those that include you as a recipient. A search query can be run to locate a specific message or all messages that share a common element.

Recent Messages Portlet

  1. From the Recent Messages portlet, locate the message by scrolling through the list.
  2. Click a message record to link to the Messaging window in its Company, Contract, or Project Profile.
  3. In the Messaging window, read the message displayed in the bottom portion of the screen.
  4. (Optional) Edit the display of information in the Messaging window:
    • Expand the list of viewable messages in the top portion of the screen by hovering over the bottom border of the list until the resize icon displays. Click the icon and drag the border downward.
    • Resize the Subject, Created On, From, and Content columns by hovering over the left or right border until the resize icon displays. Click the icon and drag the border to resize the column.
    • Display/hide threads for a message by clicking the expand + and collapse - icons.
    • (Optional) Create a new message, reply to the message, or delete the entire message thread.

Profile Screen

  1. Open the Company, Contract, or Project Profile that contains the message.
  2. In the Links section, located at the bottom of the screen, click the Messaging link.
  3. In the Messaging window, locate the message using the information in the Subject, Created On, From, and Content fields.
    • Expand the list of viewable messages by hovering over the bottom border of the list until the resize icon displays. Click the icon and drag the border downward.
    • Resize the Subject, Created On, From, and Content columns by hovering over the left or right border until the resize displays. Click the icon and drag the border to resize the column.
    • Display/hide threads for a message by clicking the expand + and collapse - icons.
  4. Click a messaging record to display the entire message in the bottom of the window.
  5. (Optional) Create a new message, reply to the message, or delete the entire message thread.

Search Query

A search query to locate a message sent from a Contract or Company Profile by a specific person is shown below.

  1. Click Search in the Navigation Toolbar, and select the Search Query link in the menu.
  2. In the Query Info view of the screen, click New in the toolbar.
  3. When the screen refreshes, set one of the following hierarchies in the Result Type list to search for a message sent from a Company, Contract, or Project Profile:
    • Company
      • Click in the list to display the hierarchy, and click the Company folder.
    • Company→Contract
      • Click in the list to display the hierarchy, and click the > icon to the left of the Company folder.
    • Scroll past the alphabetical listing of fields in the Company Profile, and click the Contract folder.
    • Project
      • Click in the list to display the hierarchy, and click the Project folder.
  4. In the Criteria section, select the search hierarchy for the person who sent the message in the field list:
    • Instructions for setting the hierarchy for a contract message are provided since it is the most complicated. The same principle applies to setting the hierarchy for a company and project message.
    • Company→Message→From Person
    • Company→Contract→Message→From Person
      • Click in the field list to display the hierarchy, and click the > icon to the left of the Company folder.
      • Scroll past the alphabetical listing of fields in the Company Profile, and click the > icon to the left of the Contract folder.
      • Scroll through the alphabetical listing of fields in the Contract Profile, and click the > icon to the left of the Message folder.
      • Click the From Person sub-folder.
      • Project→Message→From Person
      • You can also search for a message by its subject or a keyword, phrase, or text string in the message.
      • In the Criteria section, define the operator and value(s) for the search:
        • Select In in the inclusion list.
        • Click v in the value list to use the Address Book to select the sender's email address.
        • Enter the first few letters of the sender's first or last name in the Search field and click the magnifying glass.
        • Click the sender's name to select him/her.
        • Click Submit.
  5. Click Execute in the toolbar to run the query.
  6. When the Results view of the screen displays, click a search record to display its Contract or Company Profile.
  7. In the Links section of the Profile, click the Messaging link.
  8. In the Messaging window, locate the message using the information in the From field.
