Locating a Task

The tasks you create for a company, contract, or project, as well as the tasks that another user assigns to you, are viewed from the Upcoming Tasks portlet in your Dashboard. Other tasks can be located by running a search query or accessing the Tasks screen in their Company, Contract, or Project Profile.

Upcoming Tasks Portlet

The tasks for which you will receive an email notification are displayed in the portlet, along with those you created and assigned to yourself or another user.

  1. From the Upcoming Tasks portlet, locate the task by scrolling through the list or sorting the tasks.
    • Click Show Completed in the toolbar to display completed tasks.
    • A completed task displays in strikethrough text, and includes the reopen icon and any Closure Notes.
  2. (Optional) Click a task record to link to the Company, Contract, or Project Profile containing the task.
    • In the Links section of the Profile, ensure the Tasks link is selected.
    • In the Tasks screen, locate the task you want to complete, reopen, reschedule, or edit.

Tasks Screen

  1. Open the Company, Contract, or Project Profile containing the task.
  2. In the Links section of the Profile, click the Tasks link.
  3. In the Tasks screen, locate the task by scrolling through the list or sorting the tasks.
  4. Click Show Completed in the toolbar to display completed tasks.

A completed task displays in strikethrough text, and includes the reopen icon and any Closure Notes.

Search Query

A search query to locate all open (incomplete) contract and company tasks for a specific user is shown below.

  1. Click Search in the Navigation Toolbar, and select the Search Query link in the menu.
  2. In the Query Info view of the screen, click New in the toolbar.
  3. When the screen refreshes, set up the following hierarchy in the Result Type list to search for contract tasks:
    • Company→Contract
      • Click in the list to display the hierarchy, and click the > icon to the left of the Company folder.
      • Scroll past the alphabetical listing of fields in the Company Profile, and click the Contract folder.
  4. Select the All top entity records check box to search for both company and contract tasks.
  5. In the Criteria section, set the search hierarchy to identify open tasks in the field list:
    • Company→Contract→Task→Task Complete
      • Click in the field list to display the hierarchy, and click the > icon to the left of the Company folder.
      • Scroll past the alphabetical listing of fields in the Company Profile, and click the > icon to the left of the Contract folder.
      • Scroll through the alphabetical listing of fields in the Contract Profile, and click the > icon to the left of the Tasks folder.
      • Click the Task Complete sub-folder.
  6. In the Criteria section, define the operator and value(s) for the search:
    • Select False in the inclusion list.
    • Select True to search for completed tasks.
    • The True, False, Not Empty, Null, and Not Null operators in the inclusion list do not require a value.
  7. Click Search to set a second set of search criteria to identify the task owner:
    • Set the Company→Contract→Task→Task Owner hierarchy in the field list.
    • Select In in the inclusion list.
    • Enter the user's first or last name in the value list, and click their name when a list of possible matches displays.
  8. Click Execute in the toolbar to run the query.
  9. When the Results view of the screen displays, click a search record to be directed to the Contract or Company Profile containing the task.
  10. In the Links section of the Profile, click the Tasks link.
  11. In the Tasks screen, locate the task by scrolling through the list or sorting the tasks.
