Use Case: Collaborative Quote Review in Digital Commerce

Business Context

Quote collaboration is often slowed by fragmented communication channels such as emails or offline document sharing, resulting in delays, limited visibility, and poor negotiation experience. The Collaborative Quote Review process offers a centralized, secure, real‑time mechanism inside CPQ and Digital Commerce to accelerate approvals and enhance transparency.

Overview

This use case demonstrates how Sales Representatives can share quotes directly from CPQ with Buyers (including Guest Users) and collaborate on them through Digital Commerce. Buyers can view quotes, comment, adjust allowed fields, configure carts, or accept/reject quotes based on access type. Comments sync seamlessly across CPQ UI and Digital Commerce UI.

Scenario

A Sales Representative at a technology solutions provider needs to finalize a product configuration with a Buyer. Instead of exchanging multiple emails, the Sales Rep uses Digital Commerce collaboration to share the quote. The Buyer accesses the quote via a secure link, reviews details, comments, and takes actions such as updating quantities or accepting the quote depending on granted access type.

Roles
  • Sales Representative – Creates and shares quotes with Buyers.
  • Buyer – Reviews and updates quotes (as permitted) via Digital Commerce.
  • CPQ Web UI – Hosts the creation, sharing, and collaboration setup.
  • Digital Commerce UI – Displays the shared quote with appropriate access‑based UI options.

Prerequisites

  • Quote exists in Generated status in CPQ.
  • Sharing capabilities are enabled for Digital Commerce.
  • Buyer contact exists for sending the collaboration link.
  • Collaboration access types are configured.

Task

Refer the Digital Sales Room (DSR) for sharing and collaborating on quotes through Digital Commerce as per your requirements and the configured access type.

Result

  • Real‑time quote collaboration occurs within a unified platform.
  • Buyers receive a frictionless experience with instant visibility and guided negotiation.
  • Sales Representatives gain improved transparency and reduced turnaround time.
