Adobe Sign

This article describes how to leverage the Adobe Sign solution in the Smart CPQ managed solution for Microsoft Dynamics CRM. One pre-requisite is thus to have the PROS package installed on your MS Dynamics 365 instance.

Install the Adobe Sign solution

First, you have to subscribe to Adobe Sign on the following site: https://adobe.com/go/dynamics-sign-trial. You will have to use you real email address and no public domain as you will receive an email to create your password.

In the CRM instance, in the Settings > Security > Users section, make sure that the email address associated with your user corresponds to the one used during the Adobe Sign subscription.



Once done, you just have to install the Adobe Sign solution in your CRM instance:

  • Download the last version of the Adobe Sign add-in on MS App Source
  • In MS Dynamics CRM, go to the Seetings > Solution section
  • Import the Adobe Sign solution and follow the install steps. For more details, the Adobe Sign install guide is available on the MS App Source page.
  • Set the Adobe Sign subscription key in the Admin Settings in the CRM. For more details, the Adobe Sign install guide is available on the MS App Source page.
  • The solution is now installed

Setup the Quote entity

A few elements need to be added in the MS CRM Quote entity to support the overall workflow involving Adobe Sign.

ADD AN 'AGREEMENT' ENTRY IN THE LIST OF QUOTE STATUS REASONS

This new status reason will be the trigger of the signature workflow:

  • Go in the Settings > Customization menu in the navigation bar
  • Open the “Customize the system” menu
  • In the Components > Entities directory, select the Quote entity
  • Click on Fields. Then, select the ‘Status Reason’ and click on edit.
  • Click on the ‘Add’ button. Enter 'Agreement' as the label of the new status reason and click on OK.
  • Save and Publish your modifications

ADD AN AGREEMENT TEMPLATE FIELD IN THE QUOTE ENTITY

This field allows you to select the set of Adobe parameters supporting the signature workflow you want to use:

  • Access the Quote Main form editor
    • Go in the Settings > Customization menu in the navigation bar
    • Open the “Customize the system” menu
    • In the Components > Entities directory, select the Quote entity
    • Click on Forms. Then, select your Quote “Main” form
  • Add the field in the Quote Main form
    • In the field explorer, click on “New Field” and set the Agreement Template field as follows:

  • Click on Save and Close
  • Put the focus in the “General” section and double-click on the Agreement Template field in the Fields Explorer. The field is added to the form section.
  • Click on Save and Publish all customizations
    • The Agreement Template lookup field is now available in the Quote entity

Create a signature workflow

This workflow rules the way the document generated by Smart CPQ will be signed leveraging Adobe Sign. The idea here is to create a process of type 'Workflow' on the Quote entity taht is triggered on a change of value of the 'Status Reason' field.

In MS Dynamics CRM:

  • Go in the Settings > Customization menu in the navigation bar
  • Open the “Customize the system” menu
  • In the Components > Process directory, click on New
    • Process Name: PROS AgreementQuote
    • Category: Workflow
    • Entity: Quote
    • Click on OK
  • Setup the process properties as follows:

  • Define the steps of the workflow as follows:

Design an Agreement Template

To learn how to create an Agreement Template in the Adobe Sign add-in, please refer to the Adobe documentation.

Once the Agreement Template is created, assign it to your quotes via the Agreement Template field you created and added in the previous steps.

Sales Journey

Here is an example of workflow execution for a standard Sales journey:

CREATE A QUOTE IN THE CRM

  • Log in the CRM using your credentials.
  • Go in the Sales > Quotes menu in the navigation bar
  • Click on the New button to create a new quote
    • Fill the Name, Price List, Currency and Potential Customer mandatory fields
    • Select the Agreement Template in the Agreement Template dropdown list
    • Save the Quote

ADD PRODUCTS IN THE QUOTE IN CPQ AND GENERATE A PROPOSAL

  • In the Quote you have just created, click on the "Quote Content" button in the action bar
    • You are redirect in Smart CPQ within the CRM
  • Browse the CPQ Catalog and add products in the quote

  • In the "Proposal" step, click on "View Document" to generate a proposal

  • Click on Save
    • The quote content and the proposal are synced in the CRM
  • Click on Quote Overview in the Action bar to go back to the CRM Quote entity
    • The quote and quote lines are synced

  • The proposal is available in the "Notes" section

SEND THE QUOTE FOR SIGNATURE

  • In the CRM Quote, change the value of the field "Status Reason" to "Agreement" and save the quote
    • While saving, the document is sent for approval or signature at the email address associated to the quote contact

  • In the email, the approver can click on the link to review and sign/approve the document

  • At dedicated placeholders in the document, the approver can apply his/her signature and then click on "Click to Sign"





  • Once signed, the document is emailed to all parties and its status in the CRM change to "Signed" in the Adobe Sign > Agreements entity

  • In addition, the signed document is attached as a note in the "Notes" section of the Quote

Adobe Sign for Salesforce CRM

This section describes how to leverage the Adobe Sign solution in Smart CPQ for Salesforce.

Pre-requisite: PROS Smart CPQ package needs to be installed. Get credentials for Salesforce CRM as admin.

Install Adobe Sign package for salesforce v21

To install adobe for salesforce, follow all the steps outlined from this link. After successful installation the following tabs should be displayed:

  • Adobe Sign Admin
  • Adobe Sign Manager
  • Agreement Templates
  • Agreements

Create Agreement Template

Agreement template is required to dynamically pull in values from the quote object and setting up default values for agreement (signed document).

Note: The help doc describes one of the ways to get the id of the agreement template. It can also be retrieved by accessing the id from the URL (refer to the example below).

The id of the agreement template will be later used in creating the workflow in the process builder. Save this id from the URL.

Refer to the Agreement type fields below and override it with the values as shown:

Add Recipients

This is required to find the primary contact ID from the quote to send the signature to:



Click Next



Click Save

Add File Attachments

This is required if you want to attach the generated quote for signature:



Click Next and Save.



Create “Pending Signature” value in status field

By default, the status field in PROS quote does not contain a value “Pending Signature” in the dropdown. This is required and will be used in the auto approval process. In order to do this, go to settings-->set up-->Object manager-->search for PROS Quote-->Click on fields and relationship in the sidebar-->Select status-->Scroll down to values and click New and enter as shown below and save.



Design a process

Process builder is used to design an auto-approval workflow to automatically send an email when the quote’s status reachs a certain stage, in our case it is when the quote’s status is changed to “Send for signature”. In order to do this, go to settings-->set up-->Look for process builder in quick find and click on it. Click New and follow the screenshots below:



Status :



Action: load agreement templates creates an agreement.





Click save-->Activate

Create Send for Signature button

This action button will be used to update the status of the PROS quote to “Pending Signature”, which in turn triggers Adobe Sign to send an email to the quote’s contact.

Go to settings-->set up-->Object manager-->PROS Quote-->Click Buttons, Links and Actions from the sidebar-->Click New Action.





Go to Page Layout in the sidebar and select the page layout used by PROS Quote and click on it.

In the top panel, find “Send for Signature” button and add it to the page layout next to the New Quote button. Click Save.

Go to PROS Quote and verify the new button is available.



Sales Journey

Create a quote in smart CPQ by filling in all the mandatory fields and Account, Contact. Go to Quote Content and add products from the hi-tech catalog and generate a proposal. Click Save.

Verify the proposal is visible as an attachment in the related tab.

Click on Send for Signature button. This will now change the status of the PROS quote to Pending Signature.



Recipient’s inbox



Click on the link provided in the email to sign the agreement. At the dedicated placeholders in the document, the approver can sign by clicking on “Click to Sign”.





Click Apply and Agree to the terms by clicking on the check box below the document. After the contact signs, the sender and recipient both receive the signed agreements.
