CPQ is not immediately operational after having installed the MSCRM integration solution from the MSCRM App Source. Manual configuration tasks have to be completed for end-users to be able to create quotes using CPQ.
Link MSCRM with a CPQ server
CPQ is an application which is composed of software components, hosted and managed by PROS. It is requested from MSCRM by means of external Web Services.
Several parameters have to be filled manually to link an instance of MSCRM with a specific CPQ server. These parameters are grouped in the PROS Custom Settings entity. Therefore, to link the two environments, you have first to create an instance of PROS Custom Settings within MSCRM
CREATE A PROS CUSTOM SETTINGS ENTITY
To create PROS Custom Settings in MSCRM, log in as a System Administrator and navigate as follows:
- Click on Settings in the navigation bar
- Click on PROS Custom Settings in the Settings contextual menu
The list of PROS Custom Settings is displayed:
On this screen, you can create a new instance of custom settings by clicking on the “New” button. The settings available in the entity are the following:

| CPQ Optional Read-Only Mode | Define the behavior of the CPQ Quote when the CRM Quote object is in Read-Only mode. When set to 'No', the CPQ Quote is NOT set to Read-Only (on 'Activate Quote' CRM action for instance). First, give a name to your custom settings instance corresponding to its usage.
CONFIGURE CPQ SERVER IN MSCRM
To interact with CPQ, MSCRM needs the URL of the CPQ server and credentials to connect securely to this server.
The CPQ server URL is of the following format: https://mycpqserver.proscloud.com
It is decomposed as follows:
- Protocol: https:// - the protocol is the same whatever the CPQ server you use
- Server name: mycpqserver – Name of your CPQ server in your own environment
- Domain: proscloud.com – this domain is for online environments. You have to adapt it in case of an on premise environment
Along with the communication from the PROS Customer Service that allows you to download the solution package from MSCRM App Source, you will receive the name of CPQ server put in place for your business and the credentials granting you the access to this server. External calls to this server will be permitted only after having created a new PROS Custom Settings instance in MSCRM.
CPQ PASSWORD ENCRYPTION
The password field in the PROS Custom Settings entity is a security field with specific access rights management associated to a Security Field Profile. By default, an administrator can read, update and create this field, but other users can't. When a user is added on this Security Field Profile, he is then granted the ability to create a new instance of PROS Custom Settings and to set the value in this field. However, users can read and update the value of this field only in PROS Custom Settings instances that they own.
CONFIGURE THE CPQ MODEL AND PROFILE
In order for CPQ to display a quote in the Quote ‘Content’ tab iframe in MSCRM, it requires the name of the quote model to launch, associated to the release number of this model (1 by default). It also requires the name of the user interface layout to associate with this model.
Finally, the access to the various modules and quotation process steps of CPQ depends on a user profile. This profile has to be configured in MSCRM through the “User Group” and “Owner Group” fields. These fields must have the same value. For instance:
You have to synchronize the names of these elements with the ones configured in CPQ. Please, refer to the CPQ Customization guide for more details.
SAVE YOUR CONFIGURATION
At the end of this process, click on the Save button in the top ribbon to end your configuration.
Link CPQ with MSCRM
The CPQ server and the MSCRM instance require to be linked in order to interact together. Thus, once CPQ is declared in MSCRM, you have to declare your MSCRM instance in CPQ.
To build this link between CPQ and MSCRM, please refer to the CPQ Administration Guide and CPQ Installation guide.
Admin user authentication
For the CPQ to request the CRM, a MSCRM admin user must be declared in CPQ. This user must have sufficient rights in the CRM to create PROS entities and all the necessary entities linked to the PROS Quote in the PROS Mapping Set.
This admin user must be declared directly in your CRM instance. If your MSCRM architecture is linked to an Active Directory or to an ADFS (Active Directory Federated Service) organization, the user must be declared out of your domain and identified with a Windows Live ID.
Grant user access to CPQ
Once both MSCRM and CPQ environments are linked together, all you have to do to use the CPQ with the CRM is to associate the PROS Custom Settings to users.
Once a PROS Custom Settings instance is created, proceed as follows to associate it to a user:
- Go in the Settings > Security entity in the navigation bar and click on the Users menu
- Associate a value in the PROS Custom Settings lookup field:
Manage Access Rights
Make sure that the access rights to the PROS Custom Settings and PROS Mapping Set entities are correct: assign Read and Append To permissions for new entities PROS Custom Settings and PROS Mapping Sets for all required security roles (such as Standard User). You have to do the same for technical entities like PROS Content IN and PROS Content OUT entities. In addition, you have to make sure to associate at least Delete rights on the "Notes" CRM entity so that the PROS Content OUT entity can be updated, thus allowing the sync back to work properly.
