Smart Search is part of the base package and operates with Conga's Contract Lifecycle Management (CLM). It provides users with a robust search capability, finding terms in agreements, documents, opportunities, and other objects using multiple search strategies.

Prerequisites

  • You have an enterprise license for Conga CLM. To install Conga CLM, see Installing Conga CLM.
  • You have activated remote site settings (IntegrationSettingProd and IntegrationSettingSandbox), and CSP trusted sites (IntegrationSettingsProdURL and IntegrationSettingsSandboxURL). For more information, see Connecting to External APIs.

Restriction

You can configure only one registration setting per org.

Registration

An administrator must register the product.

If you are a licensed Conga user, you can automatically generate the registration using an authentication code Conga emails to you. If the domain of your email address matches the domain of the contact email address maintained in Conga's LMA system, the registration setting is generated. If you  encounter any errors or do not receive an authentication code while generating the registration setting automatically, maxcustomersupport@conga.com will email you registration details within 72 hours.

When you generate registration setting details automatically, the registration URL is added by default. To use any other URL, configure CSP Trusted Site and Remote Site Setting for the URL.

Contact the Conga Support team if you:

  • Need help to generate a registration setting.
  • Need to change any registration setting details (registration URL, API token, or tenant). 
  • Are not a licensed user and want to use Smart Search.

You can add registration details manually with the Add Details button.

Onboarding

Smart Search provides self-service onboarding with two-factor authentication.

  1. Smart Search emails the administrator a one-time key.
  2. The administrator must return the one-time key in less than 10 minutes.
  3. If the one-time key is returned in time, the administrator receives an API key.
  4. If the one-time key is not returned in time, the key application goes to an offline (manual) review, which can take up to 72 hours.

To generate registration setting details automatically

  1. Click the Registration Setting tab.
  2. Click Generate to raise the Generate Registration Setting popup.
  3. Enter your organization name in the Customer Name field.

    Note

    Use only alphanumeric characters with no spaces

  4. (Optional) Enter a new registration URL. The registration URL is automatically added, based on the org (production or sandbox) you are using. You can update it according to your requirement.
  5. Select the Search Content in Large File checkbox to allow users to search content in large files.

    Note

    Check this box only if you need to search content in large (greater than 10 MB) files. If you select this, users' page loading time might increase.
  6. Click Generate. If you are a licensed user, an email containing the tenant name, Smart Search endpoint URL, and a one-time key is sent to your email address. This authentication code is valid for 10 minutes.
  7. (Optional) If you do not receive the authentication code in 15 seconds, the Send Authentication Code again hyperlink is enabled, and you can click it to generate a new authentication code. If you still do not receive the authentication code or encounter any errors, you can revisit the Registration Setting page after 72 hours and add the registration setting details manually or contact the Conga Support team.

    Caution

    Clicking the Send Authentication Code again hyperlink invalidates the previously generated one-time key.

  8. Paste the one-time key from the email into the Authentication Code field and click Verify. The registration setting is generated.

    Note

    Entering a customer name locks it up for 15 minutes. If you cancel and restart generation, you cannot re-use that name for 15 minutes. Wait 15 minutes and try again. 

To add registration setting details manually

Prerequisite

You have received an email with registration setting details from the Conga Support team.

  1. Click the Registration Setting tab.
  2. Click Add Details.
  3. Enter the tenant name, registration URL, and API token from the email.
  4. Select the Search Content in Large File checkbox to enable users to search content in large files.

    Note

    Check this box only if you need to search content in large (greater than 10 MB) files. If you select this, users' page loading time might increase.
  5. Click Save.

To edit registration setting details

Prerequisite

You have requested and received a new API token and registration details from the Conga Support team. 

  1. Click the Registration Setting tab.
  2. Click Edit.
  3. Update the required details (as described in Generating Registration Setting
  4. Click Save.

To configure objects and fields in the registration setting

You can configure both out-of-the-box and custom objects and fields in the registration setting.

  1. Go to the Registration Setting tab.
  2. Click Next.
  3. Configure the objects and fields by selecting the objects and fields from the list. For example, for the object Account, select the fields Account ID, Account Name, and so on.
  4. Click Save. This displays the “Objects and fields configured successfully” pop-up.
