Approving a Request

Based on the Approval Process configuration, if an approval request is initiated and you are the assigned approver for the request, you receive an approval notification or an email. You can choose to approve the request using your Salesforce org credentials or from the mail itself. You can approve and reject multiple requests for complex processes.

Approving a request from Salesforce: Log in to your Salesforce org and from the Approval Requests tab, you can choose to approve or reject an individual request. You can also choose to approve a single request at a time.

Approving a request from your email: If an Approval request is initiated, and you are the assignee for the process, you receive an email regarding the approvals assigned to you. You can Approve or Reject a request from the email itself by:
  • Use the Approve/Reject keywords in the very first line of the body
  • Add comment in the immediate second line
  • End comments with a blank line.
Tip:

Queue email addresses cannot be used for notifications. If the queue's Send Email to Members box is unchecked, the current user's email (not a queue email address) is used for notifications . This is due to Salesforce limitations that we cannot bypass.

If an approver replies to an approval request with a typo or spelling error, the system returns an error message.

Scenario

New Email Message

Normal assignment email

System was unable to interpret and process email response. Please contact your system administrator if you feel you received this message in error.

Approve or reject an already canceled assignment mail

Your workflow approval message was not processed. An action has already been taken on the approval request. Please contact your system administrator if you feel you received this message in error.

Approve or reject cancellation mail

Your workflow approval message was not processed. An action has already been taken on the approval request. Please contact your system administrator if you feel you received this message in error.

Approve or reject assignment mail that has already escalated to another person

Your workflow approval message was not processed. An action has already been taken on the approval request. Please contact your system administrator if you feel you received this message in error.

Approve or reject assignment mail that is already reassigned to another person

Approval request has been reassigned and hence your workflow approval message was not processed. Please contact your system administrator if you feel you received this message in error.

Approve or reject notified mail

Your workflow approval message was not processed. You do not have privileges to approve/reject via email. Please contact your system administrator if you feel you received this message in error.

Approval request not found

No action required on this request.

Reject without comments

Rejection comments are required. Please provide appropriate comments for rejection and try again.
