A legacy asset is often associated with a billing plan when migrated to Conga. The asset might have been activated for the first time in Conga or may have undergone some amendment while associated with the billing plan. Hence Conga Billing provides support to such assets subject to certain limitations:

  • If you are already using Conga CPQ and the ALI is already created, you cannot create a new billing plan on the fly because that stage is already passed. However, you might add a billing plan to that ALI in a custom fashion. In such cases, Conga Billing does not pose any restrictions. When the billing is initiated, Conga Billing creates the schedules based on the billing plan information and will validate the billing plan amount.
  • If the legacy asset is coming to Conga for the first time, you can create quotes where you can define a billing plan for such ALIs.

Key points to consider

  • The asset must be associated with a valid billing plan. It’s recommended that you will use your discretion in defining the plan information so that the data sanctity is not lost.
  • Create the billing plan with a start date greater than or equal to the First Billing Date in Conga for the initial creation and amendment scenarios.
  • Conga Billing cannot restrict you from creating the plan with a starting date before the First Billing Date but doesn’t recommend it or support future billing issues arising from such situations.
  • The following table summarizes the billing type and the corresponding action from Conga Billing for that billing type to create billing schedules.

    Conga Billing bills the asset like any other legacy asset but generates the billing schedules per the billing plan information. 

    During billing plan creation, Conga Billing converts the populated “Amount” into a percentage value and recomputes the “Fee Amount” based on the legacy ALI “Remaining Billable Amount.”

    If you create a “Fixed” type of billing plan, the start date of the first schedule must be on or after the First Billing Date. Conga doesn’t stop you from selecting a date before the First Billing Date. Define the plan information per the ALI definition. Conga can’t support you with issues that arise from misconfigurations.

    Amendment - the ALI amended

    Conga Billing amends the ALI like any other legacy asset that doesn't have a billing plan. You can amend either on the “Start Date” of the ALI or from the “First Billing Date” onwards. 

    Removing plan information from an amendment to switch to recurring or one-time billing is not supported. Once the legacy ALI has a billing plan, the ALI must continue to have the plan information until the ALI is canceled.

    If you create a “Fixed” type of billing plan, the start date of the first schedule must be on or after the First Billing Date. Conga doesn’t stop you from selecting a date before the First Billing Date. Define the plan information per the ALI definition. Conga can’t support any issues arising from such situations.
