Working with Conga Copilot

Conga Copilot is an AI-powered virtual assistant designed to boost productivity and efficiency when working with a contract document through its entire life cycle. It leverages machine learning (ML) and natural language processing (NLP) to analyze and generate content. This tool enables users working on contract documents, supporting documents, and global and other documents to summarize them and to get answers about them.

Copilot:

  • Answers questions related to agreement documents.
  • Keeps a history of questions you asked it in a document.
  • Summarizes agreement documents.

Launching Copilot

  • Conga CLM version number 16.783 or later is installed to access AI Configurator.
    Tip: If you are currently using Conga CLM version number 15.770, upgrade it to the latest version to access AI Configurator.
  • Conga CLM version number 16.788 or later is installed to enable Copilot support for supporting and executed documents.
  • Tenant is onboarded.
  • AI Configurator is launched and necessary configurations in both Salesforce and Conga Platform are completed.
  • You have access to Conga Copilot.
  • An agreement is generated.
  • Offline documents are uploaded and associated with the agreement.
  • Copilot is added to the agreement layout in Related Lists > Document Version.
  • The agreement is activated for executed documents.
  • The admin entry APTS_ContentRepositoryType is configured for repositories such as, document, chatter or content.
  • A lookup field Agreement__c is created on the Content Version object for Chatter and Content repositories.
  • A formula is set up on the Content Version object for Chatter and Content repositories.

You can launch Copilot for documents up to 12 MB in size or containing up to 200 pages, in either .DOCX or .PDF formats.
  • Generated agreements
  • Regenerated agreements
  • Offline documents
  • Supporting documents such as merged documents, generated documents, imported documents
  • Executed documents such as signed agreements stored in Agreement Documents, Chatter, or Content repositories.

You can launch Copilot directly from the Agreement Documents related list without the need to manually create custom fields. For Chatter and Content repositories, follow the prerequisites mentioned.

  1. Select a generated agreement and go to the Documents tab.
    The Agreement Documents section lists all related documents.

  2. Launch Copilot for an agreement record using one of the following methods:
    • From the Documents tab, click Copilot for each document.
    • From the Related tab > Document Versions section, click Copilot for each document.
    • For executed documents available in Agreement Documents, Chatter or Content sections, follow these steps:
      • Agreement Documents: Navigate to Related > Agreement Documents, open the executed document and click View File Details. From the Details tab, click Copilot.
      • Chatter: Open the executed document in the Chatter section, click View File Details. From Details tab, click Copilot.
      • Content: In Classic UI, navigate to All Tabs > Libraries tab. In Lightning UI, navigate to Files > Libraries Libraries > Agreements, locate the executed document and click Copilot.
Conga Copilot is successfully launched, and you can now interact with the AI to manage and review your agreement documents efficiently.

Asking Chat-Formatted Questions

  • You have access to agreement records.
  • An agreement record has associated agreement documents.
  • You have Conga Copilot access.

You can ask questions regarding an agreement document and expect a response from Conga Copilot. You can use the chat window in Conga Copilot to ask questions and get answers.

  1. Select an agreement from the Agreements tab.
  2. Go to the Documents > Agreement Documents section. This displays a list of agreement documents.
    Note:

    You can open DOC, DOCX, and PDF file formats.

  3. Click the document's Copilot link.
    This opens the document window displaying document details on the left and the CONTRACT COPILOT window on the right.


  4. Click the Search icon () at the top of the document page and enter the keyword in the search box. You can search keywords based on the following options.
    • Highlight All: Highlight the search keyword in the contract document.
    • Match case: Limits the results to terms with a specific capitalization. When this option is enabled, the search differentiates between uppercase and lowercase letters. For example, searching for “Force” does not return results for “force” or “FORCE".
    • Match Diacritics: Text comparisons or searches take into account diacritical marks. When you’re searching for or matching text, Copilot differentiates between characters with and without diacritics. For example, “résumé” and “resume” are treated as distinct entries.
    • Whole Words: Searches for specific terms or phrases in a contract document. If you search for a word, Copilot only returns results where that exact word appears.
  5. The CONTRACT COPILOT window displays:
    • How does this work?: Navigate to the Conga Customer Community page.
    • Get Support: Navigate to the Conga Customer Community page and log in with your credentials.
    • Recent chats: Navigate to the chat history window containing your recent interactions with Copilot.
    • Frequently used prompts: This contains the most commonly used prompts. You can select any prompt and Copilot responds with a relevant answer.
  6. Enter your document-related question in the CONTRACT COPILOT window text box and click the send icon () to receive a relevant answer.


    Note:

    Click the clear icon () before the text box to return to the home screen.

    Click the Regenerate icon () to get a different answer for the same question. This is useful if you don't get an appropriate answer in the first instance.

  7. Click the HISTORY button to view a chat history of your interactions with Copilot for this document.

Use Case for Chat Questions

  • You have access to agreement records.
  • An agreement record has associated agreement documents.
  • You have Conga Copilot access.

A legal team is examining a partnership agreement containing around 200 pages. The team cannot afford to spend many hours on a single agreement, as they have other urgent tasks that are equally important. With Conga Copilot, the legal user should be able to quickly ask the most critical questions that the legal team needs to address.

  1. Select an agreement from the Agreements tab.
  2. Go to Documents > Agreement Documents section.
    This displays a list of agreement documents.
  3. Click the Copilot link available for the document.
    This action opens the document window on the left displaying the document details and the CONTRACT COPILOT window on the right.


  4. Click the Search icon () at the top of the document page and enter the keyword in the search box.
  5. The CONTRACT COPILOT window displays the following:
    • How does this work?: Navigate to the Conga Customer Community page.
    • Get Support: Navigate to the Conga Customer Community page and log in with your credentials.
    • Recent chats: Navigate to the recent chat history window containing your recent interactions with Copilot.
    • Frequently used prompts: This contains the most commonly used prompts. You can select any prompt and Copilot responds with a relevant answer.
  6. In the CONTRACT COPILOT window, enter your question about the document in the text box and click the Send icon () to receive the answer.

    These are a few sample questions Copilot can answer:

    • What are the termination rights for each party?
    • What is the term type?
    • What is the notice period for termination?
    • Summary of indemnification
    • Summary of warranties
  7. Click the HISTORY button to view the chat history for this document based on your interactions with Copilot.

Summarizing a Document

  • You have access to agreement records.
  • An agreement record has associated agreement documents.
  • You have Conga Copilot access.

Conga Copilot can summarize an agreement document, making it easier to review lengthy contracts. The Summary feature available in Conga Copilot enables you to generate these summaries efficiently.

  1. Select an agreement from the Agreements tab.
  2. Go to Documents > Agreement Documents section.
    Note:
    • You can open DOC, DOCX, and PDF file formats.
    • You can only select one document at a time for summary.
    This displays a list of agreement documents.
  3. Click the Copilot link for the document.
    This opens the document window, displaying document details on the left, and the CONTRACT COPILOT window on the right.
  4. In the CONTRACT COPILOT window, click the Summary icon ().


    This opens the DOCUMENT SUMMARY window, showing the summary in two sections: a contract summary section that highlights key points in the document and a brief summary section that offers a concise overview of the agreement document.
    Note: If you request a summary of the same document again, Copilot delivers the previously stored response instead of conducting another AI analysis.
