You must configure Conga Contracts for Salesforce and Conga Contracts to communicate with each other.

Prerequisites

  • Administrators must have permissions to all Contracts for Salesforce and Conga Suite required Apex classes and Visualforce pages.
  • Ensure all Contracts for Salesforce and Conga Contracts Remote Sites are active.
  • For this configuration, administrators must know what objects and custom objects and related fields are required for their client's configuration for both Contracts for Salesforce and Conga Contracts.
  • The latest version of Contracts for Salesforce must be installed.
  • Administrators must know what users need access to the Suite.
  • Administrators need permissions to create new request types in Conga Contracts.

Required Conga Contracts fields:

  • Legal Entity
  • Agreement Type
  • Term Type
  • Contract Type
  • Contract Group
  • Contracts Status
  • Account IDBefore you begin
  1. Log into our Contracts for Salesforce org. Remember: You must on the latest version of Contracts for Salesforce.
  2. Go to All tabs
  3. Click Conga Contract Set Up
  4. Connect with OAuth. In the Region section, select United States > Connect.
  5. Send your 15 digit Salesforce Org ID to your Conga representative so they can enable the Suite in your Salesforce Org.
  6. Administrators: Refresh your Org and verify that Suite appears in the left-side panel in Contracts for Salesforce.

Enable external file storage

Enable external file storage in Suite settings for the systems you want to communicate with each another.

  1. In Contracts for Salesforce select Platform > General > Enable Use External File storage > Save.
  2. Select Platform > Connections. Click connect and Allow on the Salesforce OAuth prompt. To verify your connection is successful, the following message appears: "Successfully identified you as Conga Contracts and your system is now linked to the platform. You can now close this window."
    • Give the UI a few seconds to fresh on the backend.
    • You are now connected to US production for the Suite ONLY. You can now have files sync to the Conga Platform but the files are NOT synced to an external repository until an external connection is established.
  3. Click Connections
  4. Click New external connection. Give the connection a friendly name for the user's system. For example: Regina's Legal System. From System, select Conga Contracts.
  5. Copy the authentication code.
  6. Log into Conga Contracts. Select Admin > System Settings > Conga Platform Settings.

    If the Conga Platform Settings tab does not exist in system settings, contact Conga support.

  7. In Conga Contracts, select Click here to connect to the Conga Platform. Click Allow.
  8. Go back to Conga Platform Settings and refresh your screen.
  9. Give the system being connected to Contracts for Salesforce. In this case, give other system (Conga Contracts) a Friendly name. Friendly name example: Regina's Legal System. From System, select Salesforce.
  10. Paste the copied code you received from the Contracts for Salesforce Connections tab. Click Connect and a success message appears.
  11. Go back to Contracts for Salesforce Connections tab and click Connect. You now see connections in the table that have the friendly names you created.
  12. You now see the Friendly name you created. For this example, select

Map Salesforce Fields to Conga Contracts fields

You need to ensure that objects and fields in Conga Contracts exist in Salesforce. All required fields and picklist values need to be created in Salesforce.

  1. In Contracts for Salesforce, select Platform > Your Friendly Name > Object Mapping > Choose Object Mapping.
  2. Select the Salesforce Object and the corresponding Conga Contracts objects. For example: Salesforce Account object maps to Conga Contracts Company object.
  3. Select the necessary fields and the syncing direction. For example: In Salesforce, select Account name and in Conga Contracts, select Company name. Select a global direction and Primary field. Click Add field.
    • Defaults: Bi-directional sync and Conga Contracts.
    • If the global direction has a conflict, you must specify the global primary winner.
  4. Continue to add fields until all required fields are added. Review all picklist value mappings settings.

EXCLUSIONS

Specify whether or not to exclude an account from syncing. If you want to EXCLUDE Salesforce from syncing data to Conga Contracts, you must select a Boolean field. For example, you want to enable Conga Platform Exclude because it is a checkbox. If you want to EXCLUDE Conga Contracts from syncing to Salesforce, select Conga Platform Exclude.

APPROVALS

You can only approve contracts in Conga Contracts.To assign approvals:

  1. Go to Object Mapping at the top of the screen and select Enable Mapping > Save. Current Mappings now appear.
  2. Create a second mapping. Map a Conga Contracts contract to a Salesforce Group object. Repeat the same mapping instructions as before.
  3. Map the Salesforce lookup field which is called an Account ID. Map to Conga Contracts object called UUID. In the Account ID to Company UUID. Select Account Name in the Description Field.

If you're mapping the the Conga Contracts Contract Number, it must map to the Contracts for Salesforce Contract Number.

Approval is now enabled. If you want a Contract in Salesforce you must specify a Boolean field. For example: Require Approval. These fields do not need to be checked by the user.

VALIDATION

To validate that your Salesforce configuration works:

  1. Navigate to Accounts in Salesforce.
  2. Create New Mapped Account in Salesforce. For example: My Account. Company group and Status are required for Conga Contracts. Click Save.
  3. Select a mapped account. Add all required fields and click Save.
  4. Click Account Layout
  5. Click Visualforce page
  6. Click Account sync Status. Drag the button to your layout. You see a "Sync successful" message. In the Conga Contracts company profile, you should see the new account, for example: My Account
  7. Create a New Contract and ensure the contract mappings works.

To validate that the Conga Contract request approvals process works:

  1. In Conga Contracts, go to Admin
  2. Click Contract request types
  3. Click New request bundle types
  4. Create a New Request Type. 
  5. Create a New Contract. Check the Boolean field on the approval section mapping and Save. You see "Pending Approval" in status widget.
  6. Go to My approvals and see the request and continue the approval process as desired.
