Commenting on a Quote

Use the commenting feature to collaborate between Sales Rep, Buyer, and Partner on a quote. This feature allows you to add comments and tag them to either 'Internal users only' or 'Internal and external users'. The comment visibility is based on this selection.

You can view previous comments and filter them based on the comment type. By default all comments are displayed.

Each comment shows recipients along with the commenter's name, comment type, date, and time, with timestamps formatted according to the user's locale. In a view you can see ten comments; click Show More Comments to view the next set of ten comments.

Only the comment owner can delete a comment if required.

Administrators can add custom comment types from Note Schema using NoteType picklist. For more information, see Application Schema Management.

Note: The Comments feature in the Next Steps Action panel is enabled by default and can be hidden using Visibility Rules

Use case

A sales representative at an industrial equipment distributor is working on a large enterprise quote and needs to collaborate with a buyer and a partner during the quoting lifecycle. Instead of communicating outside the system, the sales representative uses the Comments feature to add targeted comments directly on the quote, control who sees them, and tag them by comment type to indicate the action required.

During the review cycle, the sales representative needs to request a revision from a partner on specific line items, while keeping that communication visible only to internal users. The representative also needs to request more information from the buyer, in which case the comment must be visible to both internal and external users.

Rather than sending emails outside the system, the sales representative uses Comments on the quote to post targeted comments. Each comment is assigned a recipient type to control visibility, tagged with the appropriate comment type (Request For Revision or Request For More Info), and optionally addressed to specific recipients.

  1. Open the required quote.
  2. Click Next Steps > Comments.
  3. In the Quote Comments and Collaboration panel, enter the following details.
    Recipient TypeSelect one of the following
    • Internal users only. This is the default selection.
    • Internal and external users
    Recipients (Optional)Enter the recipients. The recipient list is populated based on the selected recipient type. Note that only active internal users are available for selection.
    Comment TypeSelect the comment type, Request For Revision or Request For More Info.
    CommentsEnter the comments. The Submit button is not enabled if comment type and comment is not entered.
  4. Click Submit.
