Sharing a Quote with Other Users or User Groups

  • In the Proposal Object, the is Shared flag is enabled. For more information, see Objects.

  • In Object Layouts, for CPQ WEB application, Proposal entity type, in the metadata for share quote, the value of the key 'hidden' is false.

Access to a quote is determined by user roles and permissions. At times, users may need to share a quote record with other individuals or groups within their organization. For instance, a sales manager or a legal team member might want to share a specific quote with colleagues for review or updates. In such cases, you can share the quote with selected users or user groups and assign them either view or edit permissions.

Note: When a quote is shared with users or user groups, the PlatformUserGroupSharePermissionGroup or PlatformUserSharePermissionGroup permission is assigned to the user or the group.
  1. Open the desired quote.
  2. Click Next Steps > Share Quote
  3. To add individual users for sharing the record, select User from the drop-down. To add user groups for sharing the record, select Group from the drop-down.
  4. Search and select a specific user or user group from the Add users and groups text box.
  5. Select Viewer or Editor from the drop-down to restrict or allow the recipients to edit the quote.
  6. Select Notify Users and provide email body in Message text box to send a notification to all the recipients.
  7. Click Send.

    If you selected Notify Users checkbox, an email is sent to the recipients along with the message. The recipient list is displayed with the default access selected.

  8. Select Viewer or Editor for a recipient to override the default access and click Done. To continue with the selection you made at the time of recipient selection, click Cancel.

The user with whom the record is shared can view and edit the record as per the access granted. The Edit button is available in the Quote Details page if the record is shared with Editor access.
