After configuring the required settings on the Conga Platform, you can test and verify the quote creation flow using the RLS flow. To achieve this, you must log in to the onboarded Salesforce org to create a new quote or proposal.

Prerequisites

  • You have associated the products with the price list you are using for a new quote. For more information, see Associating Price Lists with a Product.
  • All required products associated with the price list you are using for new quotes are activated and published. For more information, see Configuring the Products.
  • The account you are using for a new quote has been synced with the Conga Platform. 
  • Document generation is configured for a quote in the Salesforce org. For more information, see Configuring Document Generation for Quote.

You can use the Conga CPQ on the Salesforce interface to enter the necessary information and prepare a quote/proposal request or draft. To complete the quote/proposal, you must enter details relevant to the proposal. Some of the fields, identified with either a red vertical line or asterricks, are required to save the proposal record. If the required details are not entered or incorrect details are entered, the system displays validation rule errors at the top of the page, highlighted in red.

To create a quote or proposal

  1. Log in to Salesforce.
  2. Click the App Launcher () icon from the top-left corner and enter Conga CPQ, and select Conga CPQ.
  3. Go to the Proposals tab and click New. 
  4. Enter the proposal and opportunity names in the Propoosal Name and Opportunity fields.
  5. Enter an account and price list information in the Account and Price List fields.
    The price list determines the categories and products you see in the configuration. The account is auto-populated if the proposal is created from an opportunity.
  6. Click Save. Navigate to the new quote you just created and proceed with product selection.
  7. Click the Configure Products button you created for RLS flow, raising the catalog page.
  8. Select the products from the catalog page. By default, you do not see products on the catalog page if you have not configured the catalog page with the price list selected for your proposal. Hence, place the cursor in the Find Products search box and click Enter on your keyboard. A list of products associated with the selected price list is displayed.
  9. Add required products to the cart. Some of the products may require configuration. Click the Configure button to complete the product configuration.
  10. Click the Mini-cart () icon to view the summary of added products.
  11. In the mini-cart, click View Cart to launch the cart in grid view.
  12. Click Finalize to create a new proposal and open the proposal and quote details.
  13. In the Actions section, click Send Proposal to open the doc gen page where you can view the generated proposal and such other options as adding supported documents. 
  14. Click Email to display a Send Email pop-up window.
  15. Enter To and select Email folder, Email Template. The Subject text box is automatically generated.
  16. Click the Mark Proposal as "Presented" checkbox and click Merge Fields.
  17. Click Send. The acceptor will receive an email with the proposal details to verify. After the quote/proposal has been presented to the trading partner either manually or via email, the Accept button is enabled. Selecting Accept signifies that the trading partner has accepted the quote.
  18. In the Actions section, click Accept. The Approval Stage changes to Accepted.
  19. Do one of the following:
    • To create an agreement, click Create Agreement.
    • To create an agreement with line items, click Create Agreement with Line Items.
    • To synchronize the quote with an opportunity, click Synchronize with Opportunity.
      • Synchronizing Quote/Proposal With Opportunities: Synchronization ensures that both the quote/proposal and opportunity accurately reflect the current state of the quote. A best practice for sales pipeline reports and forecasts in Salesforce is to display the amount of revenue and the products or services that are forecasted to be sold.

The contracting process begins with the creation of an agreement.
