Approval Flows

Approval Flow allows you to automate and manage record approvals based on predefined business rules. It provides a structured, auditable process that ensures the right stakeholders review and approve records before they proceed.

An Approval Flow consists of a sequence of reviewers and approval rules that are triggered when specific entry criteria are met.

You can customize each flow by defining submit, approve, and reject actions; selecting email templates to notify approvers; and configuring the fields displayed in approval requests. Email notifications ensure that approvers are informed even if they are not logged into the platform, reducing delays and keeping the process on track.

Use the Approval Flow screen to do the following:
  • Create Rule-Based or Ad Hoc approval flows
  • Define entry criteria and approval steps.
  • Specify the submit, approve, and reject actions.
  • Set up email notifications using templates.
  • Specify fields to be displayed in the approval request of an object record.
One-Level Approval: If a contract amount is more than $10,000, it needs to be approved by the Sales Manager. When you submit the contract, the system automatically checks the amount. If it exceeds the specified limit, the contract is sent to the Sales Manager for approval. Once approved, the process moves forward.

Complex Approval Flow: The approval process depends on both the contract amount and the contract type. If the contract amount is over $50,000, it must be approved by the Sales Director and then by the Legal Team. Additionally, if the contract type is "MSA" (Master Service Agreement), it also needs to be reviewed by the Compliance Team. So, if both conditions are true, the contract goes through three levels of approval: first the Sales Director, then the Legal Team, and finally the Compliance Team.
