Ad Hoc Approval Flow

An ad hoc approval process allows you to manually configure approvers at runtime, rather than using predefined fixed rule-based approval workflows or routing logic. This is helpful when approval paths vary based on real-time business needs or stakeholder availability.

Configuring an Ad Hoc Approval Flow

This topic covers how to create an ad hoc approval rule.

  1. Log in to the Conga Advantage Platform as an administrator.
  2. Click the App Launcher () icon in the top-left corner, then go to Shared Apps > Approvals. If the Approval Flows window does not open by default, click Approval Flows from the left-side menu to open it.
  3. Click the Create New button.
  4. In the New Approval dialog box, enter the process name, the object type (what sort of thing is being approved), and a brief description of the new approval flow. Turn on the Is Adhoc toggle to mark this flow as an ad-hoc approval flow.
  5. Click Create. The Settings tab opens.
  6. To automatically restart the ad hoc approval process when an approved record is updated, go to the Other Settings tab and turn on the Enable Auto Re-Approval option.
  7. Go to the Fields to Display tab to select the fields that appear on the Preview and My Approvals pages.
    1. Click Add Display Header Fields to configure which fields appear for each step header in the list view of My Approvals.
      • Select up to three fields to display on the left pane of the My Approvals page for this step.
      • After selecting the field, click the Add button.
      • Click Insert to apply the selected fields.
        Note: The Left Panel of the My Approvals page displays a maximum of three header fields. This applies to all Standard, Sub-process, and Child Process steps. If no fields are configured, the Left Panel header remains blank.
    2. Click Add Display Fields to configure which fields appear for each request in the details view of My Approvals.
      • Select up to six fields to display on the right pane for the approval step.
      • After selecting the field, click the Add button.
      • Click Insert to apply the selected fields.
  8. You can optionally customize the approval flow using the available tabs:
    • Use the Notifications tab to configure email alerts for each stage of the approval process.
    • Use the Comments tab to control when users can add comments and whether they are required.
    • Use the Other Settings tab to enable features such as consolidated approvals, continuation after rejection, or backup admin assignment.
    • Use the Update Section tab to define actions that occur during initial submission, final approval, or final rejection.

  9. After configuring, click Activate to enable the flow.
    Note: You can set up multiple ad hoc approval flows, but only one flow can be active for each object at a time.
An ad hoc approval flow is created and appears in the Approval Flows list.
You can now create an ad-hoc approval process at runtime when submitting a review request using the Preview & Submit option. For more information, see Preview and Submit.
