Collaborative Approvals

To enhance collaboration during the approval process, the Request for Information (RFI) and Add Comments features are available on the My Approvals page.

Approvers and requesters can exchange comments and documents to clarify details, request missing information, or share updates before a final decision is made. This ensures decisions are based on complete and accurate information. The capability is available across modules such as Quote, Cart, and Contract.
  • Request for Information: Initiated by approvers or admins to request additional input or clarification.

  • Add Comments: Used by recipients to respond to RFI or share information without changing the request status.

As an approver, you are reviewing a contract and need clarification from the requester. You initiate a Request for Information, select the requester, add a comment, and upload a file. The requester receives the request in Waiting for Input status and responds using Add Comments. The request returns to Assigned status, and you are notified to proceed with the approval. If you notice that a contract is missing a required attachment or needs additional context, you can add a comment without waiting for an RFI.

Requesting Information

You can access the Request for Information (RFI) button on the My Approvals page for approval requests that are in Assigned or Reassigned status. RFI is available for both standard and custom objects.

  • Admins or current assignees can initiate an RFI. Admins can send RFIs on multiple requests.

  • RFI can only be performed when request status is Assigned or Reassigned.

  • RFI functions correctly with consolidation, dependencies, and reassignment flows.

  • Cancel and Reassign actions are supported during RFI.

  • After raising an RFI, approvers can take action on the request even before receiving a response. This allows flexibility to proceed when needed.

  1. Go to the My Approvals page.
  2. Locate a request with status Assigned or Reassigned.
  3. Click the More () button.
  4. Click the Request for Information button.
  5. Fill in the following information in the Request for Information popup:

    Recipient NameChoose the person to receive the request. The RFI recipient cannot be the same person as the assignee or the RFI sender.
    CommentsAdd your message or question. Required if no file is uploaded.
    Upload DocumentOptionally attach a file for reference.
  6. Click Save.
The request status changes to Waiting for Input, and the recipient receives an email notification. To set up a custom email notification template, refer to the Notification section in the Configuring Approval Flow Settings topic.
  • The Approval Notes panel (on the right) displays the RFI action along with any associated comments.

  • The file can also be accessed from Approval History.
    Note: The system treats approval requests with a Waiting for Input status the same as those in Assigned status. These requests are considered during policy evaluation and can be auto-approved if the configured approval policy—such as Unanimous, Majority, Percent, or Quorum—is satisfied.

Adding Comments

This section explains how to use the Add Comment feature. You can use this feature to provide clarifications, add context, or share supporting details—whether in response to an RFI or independently. The Add Comment button is available to all users on the My Approvals page.

  1. Go to the My Approvals page.
  2. Locate a request with status Waiting for Input, Assigned or Reassigned.
  3. Click the More () button.
  4. Click the Add Comments button.
  5. Fill in the following information in the Request for Information popup:

  6. Click Save.
The request status changes to Assigned or Reassigned when the RFI is responded to by the recipient. In case of multiple RFIs sent to different users, the status updates only after the last RFI recipient adds a comment.
