Post or Comment via Email

This feature allows participants to respond to conversations directly from their email client without logging into the application. This capability sends emails to both internal and external participants, external users can respond only via email, whereas internal users may respond either from the email or directly within the application, improving accessibility while ensuring all replies are accurately captured and displayed within the conversation

When a post or comment is created, participants receive an email that includes:

  • The message content with the subject
  • Any attached documents
  • A link to the specific message or conversation (internal users only)
  • A link to the associated record (internal users only)

For internal users, clicking these links opens the corresponding message or the record in the application.

Participants can reply directly in the email:

  • Replies sent from email are captured automatically by the system.
  • External participants can respond only via email and do not require application access.

The system preserves the structure and context of the conversation by:

  • Adding each email reply as a new message in the same conversation.
  • Associating the reply to the specific post it responds to.
  • Displaying replies in chronological order under the correct parent message.

Replies sent via email follow these visibility rules:

  • All replies are stored and visible within the conversation in the system.
  • If recipients are removed from the email when replying:
    • The reply is still added to the conversation.
    • Removed participants can view the reply only by accessing the conversation directly in the system.
  • Email tracks the conversation (the conversation integrity is still maintained in the application even if the subject is changed via email, participants are added or deleted via email.)
    Warning: It is recommended to manage conversation participants through the application rather than via email. Adding or removing recipients when replying to an email may affect who receives that specific email, but it does not update the conversation's participant list in the application. If a response is later sent from within the application, email notifications will continue to be sent based on the participant list maintained in the application..
