Tasks Notifications
Task Notifications ensure that contract users are informed about important task-related events at the right time, enabling timely action and better task management. Notifications are delivered through in-app alerts and, where applicable, email notifications using predefined templates.
This topic guides you on notification triggers and the recipients of notifications.
Task notifications apply to the following task types:
- Actionable – Require user action and may have due dates.
- Informational – Notify the assignee upon creation. The task can be manually marked as Completed before the due date. If the assignee does not manually complete the task, it is automatically marked as Completed on the date specified in the Notify On field.
Scheduled Trigger Events and Notifications
.Notifications are automatically triggered based on task lifecycle events and task configuration.
- Scheduled notifications are driven by the Notify On date and time and apply only to Informational tasks. These notifications do not depend on due dates or task completion.
- Lifecycle-based notifications are triggered by task events such as assignment, reassignment, status changes, reminders, and overdue conditions, based on the task type.
| Event | When the Notification Is Triggered | Assignee | Task Type |
|---|---|---|---|
| Task Created | When a task is created and an assignee is specified | Assignee | Informational, Actionable |
| Task Reassigned | When the assignee changes from one user to another | New Assignee | Informational, Actionable |
| Task Status Changed | When the task status transitions (for example, Open → Completed) | Assignee | Actionable |
| Task Updated by Non-Assignee | When a task is updated by someone other than the assignee | Assignee | Actionable |
| Task Completed | When an actionable task is marked as Completed | Assignee | Actionable |
| Task Overdue | When the due date has passed and the task remains incomplete | Assignee | Actionable |
| Task Published | When the task is published (In Draft → Not Started), or when Delay Publish conditions are met (for example, contract activation) | Assignee | Actionable |
| Notify On Reached | At the configured Notify On date and time | Assignee | Informational |
| Task Returned to Creator | When the task is returned to the creator | Task Creator (For example, Contract Manager) | Actionable |
| Task Cancelled | When an actionable task is cancelled by someone other than the assignee | Assignee and Creator | Actionable |
| Task Cancelled | When an actionable task is cancelled by the assignee | No notification sent | Actionable |
| Task Cancelled (Informational) | When an informational task is cancelled before Notify On | No notification sent | Informational |
Due Date–Based Notifications
Due date reminders apply only to Actionable tasks.
| Trigger | When the Notification Is Triggered | ||
|---|---|---|---|
| Before Due Date | Reminder sent 3 days before the task due date. | Assignee | Actionable |
| On Due Date | On the task's due date. | Assignee | Actionable |
| After Due Date | When the task remains incomplete after the due date (overdue notification sent once, 7 days after due date). | Assignee | Actionable |
Limitations
- Reminders and overdue notifications are applicable only to Actionable tasks.
- Informational tasks do not generate due-date reminders; they notify the assignee once upon publishing and move automatically to Completed.
- Scheduled notifications are sent once at the configured "Notify On" date and time. They are independent of due dates and do not trigger reminders or overdue notifications.
- Reminder notifications are not sent if the task status is Completed or Cancelled before execution.
- Overdue notifications are sent only once, 7 days after the due date.
- Scheduled reminders rely on background jobs and are executed at system-defined times.
