Public URL Expiry Functionality

Public URL Expiry is an important security enhancement designed to improve how public URLs of published proposals are accessed and shared. With this functionality, proposal links are not accessible indefinitely, which helps protect your data from unauthorized access.

  • Public URLs will automatically expire after a defined number of days from the publish date.

  • Once expired, accessing the URL will return a 403 Forbidden error.

  • The expiry duration is configurable at: AdministratorAccount Settings → Public URL Expiry Extension

  • The default expiry duration is 30 days. The expiry date formula is: Public URL Expiry Date = published_at + Public URL Expiry Extension .

  • Expired public URLs can be renewed.

Checking Public URL Status

  1. When viewing the URL on a published document, an active public URL displays the following message: "Public URL will expire on [Date].
  2. An expired URL displays the following message: "Public URL expired on [Date]".

Modifying a Public URL Expiry Duration

  1. Navigate to AdministratorAccount Settings .
  2. Click the General tab.
  3. Locate the field Public URL Expiry Extension and update the value by the number of days you want to modify your expiry date.
    1. Default value: 30 days
    2. Minimum: 1 day
    3. Maximum: 30 days
      Note:
      • Each single extension has a maximum of 30 days, but you can make multiple extensions.
      • If set on a proposal, the expiry extension cannot be extended beyond the proposal expiration date.

  4. Click Save.

Renewing a Public URL

You can renew a public URL after it has expired, and only after it has expired. If you want to modify the expiry date of an non-expired URL, see Modifying a Public URL Expiry Duration
After a public URL has expired, a button appears next to the URL with the message "Renew for [X] days". For example, the message might say "Renew for 12 days". Click the button to renew the public URL.
  1. If a proposal does not have an expiration date, then X = the Public URL Expiry Extension, which is 30 days by default.
  2. If a proposal does have an expiration date, then the renewal cannot extend beyond the proposal's expiration date.
