Performing an Advanced Edit

You need the System Settings Admin permission to perform an advanced edit, which globally replaces data in Contract Profile or Company Profile screens. The feature is also used to make program-wide edits to the fields in contract and company task records, as well as the fields in contract and company event records.

Administrators should take care in performing an advanced edit since it cannot be undone. However, an advanced edit can be overwritten by creating a second advanced edit that reverses the original edit.

An employee (Mark Williams), who was responsible for monitoring contract events, left the company on June 29, 2018. The man who replaced him (Eric Bayes) needs to be identified as the person who will now receive the event alert notifications that would have been sent to Mark.

  1. Click the Gear Icon in the Navigation Toolbar, and click the Advanced Edit link in the menu.
  2. In the Data Filter screen, select Contract Events in the Section list. When the criteria record displays:
  3. Select Event Date in the field list.
  4. Select After in the inclusion list.
  5. Click and use the calendar to select 06/29/2018. To add additional criteria for an advanced edit, click he icon to decrease the number of data fields that are affected by the edit, or click to expand the number of data fields that are affected by the edit.
  6. In the Replacement section of the screen, select Event Notification Person in the Field list.
  7. Select Replace in the inclusion list.
  8. Select Williams, Mark in the first value list.
  9. Select Bayes, Eric in the second value list.
  10. (Optional) Click to add a second criteria record if the Reminder option is used in your company events.
  11. Select Event Reminder Person in the Field list.
  12. Select Replace in the inclusion list.
  13. Select Williams, Mark in the first value list.
  14. Select Bayes, Eric in the second value list.
  15. Click Submit.
    Tip:

    The options in a value list will vary based on the type of field selected in the Field list. Also, the inclusion list will not display when the Field and value lists are sufficient in defining the criteria.
