Documents Screen

A list of the documents stored in a Contract, Company, or Project Profile are viewed from the Documents screen. The information that displays in the screen, such as document type and effective date, can be customized to meet your at-a-glance viewing needs.

Although the Contract Profile is used in the screenshot below, the components are the same in the Documents screen in a Company Profile and Project Profile. If you view documents from a Company Profile, there are two additional tabs in the Documents screen:

Previous Company Documents. If you select to move documents using the Company Acquisition Wizard, the document is removed from Company A and included as a document on Company B. If you do not move the documents, the document remains on Company A, and appears under Previous Company Documents on Company B.

  • Company Contract Documents displays a view of all the contract documents that have been uploaded to the Contract Profile, which is housed in the Company Profile.

To access the Documents screen, open a Contract, Company, or Project Profile.

Click to display the Documents screen.

Document records

Review a list of the documents stored in the profile. Click on a document record to open its Document Profile.

Revision number

View the number of copies of the document stored in the profile. For example, if there is a "3" in the Revision column, there are two revisions to the document, plus the original document.

To view or download earlier versions of the document, click on the document record to display the Document Profile screen, and scroll down to the Revisions section of the screen.

Search option

To quickly locate a document, type the first few letters of the document name or other identifier in the Search field, and press the ENTER key on your keyboard. To clear the filter, click x.
  • If you only know part of the document name or other identifier, use a leading and/or trailing wild card (denoted by an asterisk "*"). For example, if you wanted to search for the final contract document, which is a PDF file, you could enter *pdf* in the Search field.

The document fields that can be searched are Document Type, Document Type Group, File Name, File Type, Author, and Description. Use the Search filter to limit the fields that are searched by clicking Search to display a list of fields. Select only the check box(es) for the field(s) you want to search to guarantee accurate results.

Click in the field to activate the list, and change the document's type.

Download icon

Click the download icon to open the document in its default format or download the document.

New Document button

Click to add a document.

Multi-Print button

Click to use the multi-print feature, which allows you to print multiple documents simultaneously.

Document records display

  • To customize the information in a browse screen, hover over a column heading until the column icon displays, and click it to display the Sort/Column menu. Click Columns to display a list of available fields, and select the fields you want displayed by clicking in the check box to the left of the field.
  • To sort the information in a column in ascending or descending order, click (toggle) on the column heading.
  • To resize a column, hover over the right or left border of the column heading until the resize icon appears. Then, click and drag the border to the desired width.
  • To move a column to a different location in the browse screen, click on the column heading and drag it to the left or right, dropping it in the desired location. When the green checkmark icon displays, you are successfully moving the column.

Show Items list

Click v and make a different selection to change the number of data records that display on each screen.

Navigation options

Enter the page you want to view in the Page field and press the ENTER key on your keyboard. Or use the previous < and next > arrow icons to move forward or back one page, and the first page << and last page >> icons.
