Conga Contracts New Search Functionality

New Search Overview

The Conga Contracts new search feature is available for Casual and Full Conga Contracts users. This feature replaces the Documents page search feature, and is now a one stop search bar located in your navigation toolbar. You can search for companies, contracts, documents, set up search views, filter your results using keywords, and easily export your search results to Excel.

How do I search?

The search function works based off keywords. The keyword can be the name of the file you're searching for, or any of the text contained within the file.

Tip:

You can use the * and ? characters to enhance your search in the following ways:

  • The * character expands your search. For example, if you are searching for the word Agreement, you can enter Agree* into the search bar and get all matching results.
  • The ? character replaces characters. For example, if you are searching for the word Agreement, you can enter Agree?ent and get all matching results.

To search for a company, contract, or document, take the following steps:

  1. In your navigation toolbar, enter a keyword into the search bar located on the left.
  2. After you run a search, you are brought to a search results page with three tabs: Company, Contract, and Documents. Click on each of these tabs to view search results.

How do I set up and change column views?

Columns allow you to arrange your search results to view or hide relevant details. An example of current available columns are Document File Name, Type, Version, Company Name, Contract Number, Document Parent, and Last Updated On.

To add or remove columns to your search results view, take the following steps:

  1. After you run a search, click on any of the three vertical dots in one of the columns on the results page.
  2. Click on Columns.
  3. Put a check mark next to the columns you want to display, and uncheck any columns you want to remove from your current view.
  4. Click Save.
    Tip:

    You can resize the columns by placing your cursor on the three vertical dots for each column, and dragging it to the left or the right.

    As an example, you can select the columns Document File Name, Version and Last Updated On to create a view that keeps track of the progress of a document so you can see on what date it was last updated, and the most current version of the file.

How do I filter my search results?

You can filter your search results using keywords. In each column on the search results page, there is a search bar with a filter icon beside it. To filter your results, take the following steps:

  1. Enter in a keyword into column's search bar.
    Note:

    The keyword can be a specific file name, or text contained within the file. The * and ? search options mentioned in the "How do I search?" section also work in the filters search bar.

  2. Click the filter icon to filter your results by the keyword you entered.

    For example, in the Document File Name column, you could just enter "Lease" to search for a document named "Standard Lease Agreement".

Preview and Download Documents

You can preview the documents listed in your search results, and then download the documents from the preview window. To preview and download documents, take the following steps:

  1. Click on the blue icon to the right of the file name listed in the search results to preview the contents of the file.
  2. To download the document, click the green Download button in the lower right hand corner of the preview window.

How do I export my data to Excel?

To export your search results data to Excel, take the following steps:

From the search results page, depending on which tab you are on, click on Export Company results to Excel, Export Contract Results to Excel, or Export Document results to Excel.
Note:

You can export up to 10,000 records. If your results exceed the 10,000 limit, you will receive a message asking you to use Search Query or Reporting.

Limitations

  • The new search feature does not search for Projects.
  • Available to Casual and Full users only.
  • Export limit of 10,000 records.
