New Features

The following features are new to X-Author in this release.

Platform and Document Management Updates

  • X-Author Contracts 2.0 now supports the latest Microsoft Word versions on Windows and macOS. This update resolves issues that previously prevented users from checking in agreement documents during the Final to be Signed and Reconcile flows. The release also addresses Doc Field compatibility issues introduced by the latest Microsoft Word versions to maintain consistent document generation and field functionality. Users must upgrade to Word for Mac version 16.105.3 (26020123) or Word for Windows version v2601 or v2508 to restore full check-in functionality.
  • The Review Import Flow now marks all instances of fields and clauses with identical text instead of only the first occurrence. The update also preserves paragraph headings when marking fields or clauses in bulleted or numbered lists where extraction excludes numbering.
  • The new Conga logo now appears in SVG format across supported X-Author applications, including X-Author for Word (XA 1.0 and XA 2.0), X-Author Advanced, X-Author for Google Docs, and XA Word (MM). This update replaces PNG-based logos where applicable to provide consistent, high-quality rendering across supported screen sizes and resolutions. Migration Manager and OCC are not impacted by this update.
  • Templates and clause insertion workflows now retain correct auto-numbering, indentation, paragraph formatting, and custom styles when inserting single or multi-paragraph clauses and clauses containing multiple segments or Conditional Segments. XA 2.0 supports inserting clauses containing 1 to 78 or more Conditional Segments in a single operation without formatting or stability issues, while XAC Advanced now retains custom styles applied to single-paragraph clause templates during insertion into agreement templates.
  • The application now displays a loading spinner during initial document field processing to indicate ongoing operations. Validation handling is also updated to evaluate newly entered values and display the expected date format in validation messages for improved clarity.
  • The Email API now restricts the From address to organization-approved sender configurations or a system default email address. Requests that use unsupported sender addresses are rejected with a clear error message, and fallback to a system email address occurs when the organization domain is not verified.
  • Legal users now receive a clear informational guidance message when initiating AI Comparison in X-Author for Contracts without selecting document text. The message explains the required action using a neutral informational style without error indicators.
  • The Office 365 Review Cycle now updates the Final Document Version fields (Apttus_FinalDocumentVersionDetailr.Name and ApttusFinalDocumentVersionDetail_c) by incrementing the minor version, such as 1.1.0 and 1.2.0, instead of revision versions such as 1.0.1 and 1.0.2, when a review cycle is completed. This update aligns versioning behavior with expected standards and maintains consistency across document lifecycle management workflows.

Miscellaneous Platform Maintenance and Team Training

This update tracks ongoing platform maintenance activities, including bug and defect fixes not associated with current sprint stories, NuGet package updates, and cross-team dependencies. Security and penetration testing fixes are also addressed to maintain system integrity.

Additionally, this release covers product knowledge transfer and training initiatives for new team members, supporting continuous team development and platform reliability.

Editable Smart Fields and Content Control in Read-Only Clauses

Template administrators can now configure the Retain field property setting for fields within read-only clauses to preserve original smart or read-only field behavior based on company policy. The Retain field property option is available only for read-only clauses and is managed using the XA configuration key, RetainFieldProperty, while the option remains unavailable for non-read-only clauses. Contract managers can edit permitted smart fields and custom content controls within read-only clauses while the clause language remains locked to maintain compliance. The APTS_EditableSmartCCInReadonlyClause setting controls whether smart fields retain editable behavior or behave as merge/plain text based on the Retain field property configuration, while read-only fields always behave as merge/plain text. This update applies only to Salesforce users and is not visible to platform users. The functionality supports both new and existing agreements, reflects changes in the review screen and agreement record as applicable, and is enabled by default for new and existing customers and cannot be disabled. For more information, see Making Clauses Read-Only in a Template.

X-Author and Template Administration Controls

  • Administrators can manage the visibility of the Create Offline Agreement option and the Search and Create tab using the xa_disablecreateoffline admin setting or Hide Create Contract permission under X-Author Settings. By default, these options are hidden for end users, while RLS users retain access unless otherwise configured. Backend functionality remains unchanged. For more information, see, Creating Offline Agreements.
  • Template administrators can now select multiple clauses or fields and mark them as smart or read only in a single action during template creation. The system updates Smart and Read-Only toggles based on selected item properties and excludes clauses or fields where these options are unavailable from bulk selection. The Delete Read Only Clause option remains permanently read only and unavailable for selection. Clause and field properties, including smart, read only, and condition, are now visually displayed in their respective tabs for quick assessment without opening each item individually. For more information, see Creating New Templates.
  • Agreement clause entries now include read only clauses to support tracking and reporting. This feature is controlled by the APTS_CreateClauseEntryForReadOnlyClause admin setting, which is disabled by default, supports both legacy and new document generation endpoints, and maintains existing action values and read only clause behavior, including Original, FieldChangeOnly, and Final. For more information, see Reconciliation.
  • Clause names in X-Author Advance templates now automatically synchronize with the latest updates after refresh or publish actions. In addition, the menu section displays the connected Salesforce org name to help users identify the active organization and avoid making changes in the wrong environment.
  • Error messages in XA Author now remain visible until manually dismissed, with a maximum of three messages displayed at a time and a visible close button for each message. Error text is no longer automatically truncated or dismissed, allowing users to fully review and address issues.

Document Save Location Configuration and Contextual Panel Synchronization in XAA Templates and Contracts

  • Administrators can now configure a Document Save Location for templates and contracts in the App Details screen. The location defaults to the Microsoft Word Default local file location but can be updated as needed. Documents are saved to the configured location during checkout regardless of the Auto Save setting, and error messages are displayed for invalid or inaccessible paths. On Mac, custom folders must be created under the specified Documents path, and unsupported paths revert to the default location. For more information, see Enabling Document Save Location.
  • The right panel in both XAA Templates and the Contracts section now synchronizes with the document by dynamically highlighting the relevant segment, clause, or field as the cursor moves within the document. This synchronization allows authors to identify their current context without switching tabs while maintaining existing panel-to-document navigation behavior. Highlights are cleared when the cursor is outside any clause or field, and the functionality works consistently across all editable contract document states. For more information, see Viewing X-Author Templates in Conga Drive.

XA-Discovery Agent Reference Field and UI Enhancements

  • This update introduces the ability to manually mark Reference fields from the Missing tab when Discovery AI does not extract them. Marked reference fields move to the Found section, supporting accurate tracking and management of reference data. For SF Plus users, reference field scenarios are now handled without requiring edits under the Doc Fields tab, including support for multiple account entries.
  • The Delete Field action in the Fields tab is renamed to Unmark Field for consistency with the Clauses tab. The Un-mark Field option removes the content control and the selected occurrence from both the document and XA pane, and deletes the field from the Found list when its last occurrence is unmarked. Automation selectors are updated to reflect this change. For more information, see To unmark a clause.
  • The Finish tab now restricts navigation for Discovery Agent documents if there are unresolved errors in Fields or Clauses. Users receive specific alert messages and are redirected to the appropriate tab to resolve errors before proceeding to document check-in. All existing options and behaviors in the Finish tab remain unchanged after errors are resolved.
  • XA now displays and processes multiselect and boolean fields, allowing direct updates in the XA pane. These updates are reflected in agreement metadata upon check-in, and content controls for these fields are removed from the document after check-in. Boolean values are displayed as True or False, and validation messages are updated for clarity.
  • The Doc Clause tab interface is redesigned to align with the latest specifications, including repositioned menu options, revised text labels for the Found and Missing tabs, and replacement of the “AI Comparison” text with the designated AI icon. This redesign applies to both RLS and SF Plus users and maintains compatibility with non-Discovery Agent and generated documents.
  • The Library tab now consolidates the previous Marked and Clause Library tabs, providing a unified location to view, search, and manage all available clauses within Discovery Agent documents. Marked clauses are visually distinguished in the Found tab and support the Promote Clause functionality. The Mark Clause button is repositioned for clarity, and the tab is consistently named Library.
  • The Marked and Mark Fields tabs under Doc Fields for Discovery Agent documents are merged into a single Available tab. This tab displays all fields available for marking, supports field search, and allows direct marking of fields, which then appear in the Found tab, providing a unified view of field status and streamlined field management.

AI-Powered Template and Clause Library Builder on Advantage Platform

The AI-Based Template and Clause Builder enhances template creation and review in X-Author by enabling AI-driven extraction, review, management, and validation of clauses and fields for contracts and templates. Template administrators can review extracted clauses and fields in structured Found and Missing sections with real-time updates, search and filter support, document highlighting, and actions to mark, unmark, re-mark, rename, and manage extracted content. The feature also supports promoting clauses to the clause library, configuring clauses and fields as smart or read-only, and identifying existing library clauses that are protected from editing.

The release includes AI extraction configuration capabilities for clause and field extraction parameters, seeded and custom attributes, and predefined mappings for MSA, NDA, and SOW contract types. Configurations are automatically applied to future template uploads and AI extraction processes. Template administrators can import AI extraction results into X-Author, automatically match extracted clauses with existing library clauses while preserving merge fields and metadata, and manage alternative clause relationships during library promotion.

Template administrators can continue using standard X-Author capabilities, including adding clauses from the clause library, inserting fields, marking clauses, and defining conditional segments with business rules while reviewing AI-extracted content. The enhanced check-in and publishing workflow supports versioning, transactional integrity, and controlled editing after publication.

The release also introduces enhanced monitoring and troubleshooting capabilities, including extraction job history, validation and processing error details, user-friendly error handling, resubmission support for failed documents, processing notifications, and Stage-based filtering in the Template listing UI and APIs. In addition, the CLMXA_EnableAIBasedTempalteClauseBuilder LaunchDarkly feature flag controls access to AI Template Builder functionality across CongaDrive and X-Author.

Aime Branding Updates in XA Interface

The XA interface now updates all references from AI and Conga AI to the new Aime branding across headers and dropdown menus for consistent terminology. The Redline AI feature is renamed to Redline Agent, and the previous pink AI button is updated to display Aime on a white background. These branding updates align the interface with the latest platform rebranding.
