Managing the Users

This step allows creating users and associating them into Teams. A user can belong to several teams (and have different roles depending on the team he is working for cf. Managing International Settings.)

Create a User - On Premise Only

When creating a user, you will have to fill the following properties:

FIELD REQUIRED DESCRIPTION
Name Yes The identifier of the user when he logs in CPQ
First Name Yes User First Name
Last Name Yes User Last Name
Password Yes Password associated to the identifier (necessary to log in CPQ)
Confirm Password Yes Password Confirmation
Email No User mail address
International Settings Yes Default International Settings associated to the user. (The list of these international profiles and their content are located in your CPQ Install Directory ./conf/internationalSettings.xml)
Time Zone No Default is GMT
  • [Via the ‘Explore Structure’ explorer]
    • Click on the icon of the team in which you want to create the User (you can also select ‘Unassigned’ to add a user. In that case it will not be added to a team and it will not be possible to associate a role with this user)
  • [Via the Menu Toolbar – Group New]
    • Click on the New ‘User’ icon.
  • In the popup, fill the user properties
  • Save
    • The new User appears in the tree of the ‘Explore Structure’ explorer as a clickable entity
      Note: You can also create a new user by Copying and Pasting an existing one (and giving him a new Name) in the ‘Explore Structure’ explorer

Assign a User to Teams

Once a user has been created, he can belong to several teams.

  • [Via the ‘Explore Structure’ explorer]
    • Click on the icon corresponding to the user you want to manipulate
  • [Via the Menu Toolbar – Group Explorer]
    • Click on ‘Copy’ function.
  • [Via the ‘Explore Structure’ explorer]
    • Click on the icon corresponding to the team in which you want to add the user.
  • [Via the Menu Toolbar – Group Explorer]
    • Click on ‘Link’ (Inside) function.
  • Repeat all these manipulations to associate users to other teams
  • Save
    • The user both appears under all the teams in the ‘Explore Structure’ explorer

How to remove a User from a Team

  • [Via the ‘Explore Structure’ explorer]
    • Navigate in the team containing the user you want to delete and Click on the icon corresponding to the user within this team
  • [Via the Menu Toolbar – Group Explorer]
    • Click on ‘Delete’
  • Save

The user is removed from the team. However the user is not deleted from the workgroup

The user is still associated to the other teams he is associated with. If he does not belong to any team, he appears under ‘Unassigned’ tree node in the ‘Explore Structure’ explorer.

How to remove a User from a Workgroup

It is only possible to remove a user from a workgroup when he does not belong to any team (i.e. when he appears under the ‘Unassigned’ tree node in the ‘Explore Structure’ explorer).

  • [Via the ‘Explore Structure’ explorer]
    • Under ‘Unassigned’ tree node, Click on the icon corresponding to the you want to delete
  • [Via the Menu Toolbar – Group Explorer]
    • Click on ‘Delete’
  • Save

Managing International Settings

The file internationalSettings.xml defines every piece of data that is important for a user, including:

  • The locale
  • The currency to be used
  • The number formatting

The typical usage of this file concerns the creation of new languages, whether these are “real” languages (French, English, Flemish, etc.) or brand-specific vocabulary.

In order to create a new language or to specify a brand-specific vocabulary, proceed as follows:

  • [in the internationalSettings.xml file]
    • Create a new xml entry, by copying the by default provided
    • “englishSettings” block:

      <internationalSettings name="englishSettings">

      <language code="en" />

      <country code="US" />

      <currency code="USD" format="¤#,###.###" />

      <longDate format="yyyy MMM dd EEE HH:mm" />

      <shortDate format="yyyy MMM dd" />

      <time format="HH#mm#ss.s" />

      <number format="#,##0.###" />

      <integer format="#,##0" />

      </internationalSettings>

    • Give a new name to the inserted block, e.g. “mySettings”
    • Choose the appropriate language code (“fr” for French, “en” for English, etc.)
    • Choose the appropriate country code
    • Use a “real” country code in case you’re defining a new language
    • Use an “invented” code if you want to represent brand-specific vocabulary
  • Save

The international settings are also important with respect to the number formatting and currency display. The latter is based on Java’s DecimalFormat (http://java.sun.com/j2se/1.5.0/docs/api/java/text/DecimalFormat.html) and uses the following generic characters in order to establish a format to be displayed (full list on the previously cited location):

SYMBOLLOCALIZED?MEANING
0YesRepresents a digit.
#YesRepresents a digit, zero shows as absent
.YesRepresents a decimal separator or a monetary decimal separator
-YesRepresents the minus sign
,YesRepresents the grouping separator

Therefore, the format ¤ #,###.### will be interpreted as follows:

  • The currency symbol will be shown in front of the amount
  • The non-significant zeros will not be shown (meaning 0010.01 will be shown as 10.01)
  • The group separator will be inserted each 3 digits, starting at the decimal separator and counting leftward
  • Only 3 significant digits after the decimal separator will be taken into account

Moreover, these symbols are localized, meaning that they will be represented differently in function of the language and/or country. For instance, for the locale fr_FR (French spoken in France), the following characters will automatically replace the symbols:

  • The currency will be EUR
  • The currency symbol will be €
  • The decimal separator will be the comma “,”
  • The grouping separator will be the space “ “
  • The minus sign will be the dash “-“

In order to obtain the following format 99 999,999 € in “mySettings”, the following format will have to be used: #,###.### ¤ for the language fr.

Some examples to represent the number 1000003,34656

  • Language=fr, Country=WEB, format= "#,###.## ¤"  1 000 003,35
  • Language=us, Country=RD, format="¤ #,###.###"  1 000 003,346 (The language us doesn’t exist, the server locale will be used – fr in this example)
  • Language =en, Country=RD, format="¤ #,###.###"  1,000,003.346
    Note: The representation of the numbers and amounts in the Designer is determined by the language specified in the international settings specified on the user details (and not by the language chosen in the dashboard which is meant to specify a modeling language only).

At run-time (when running a configuration), the same information is used to display numbers and amounts in the configurationUI. However, at run-time, the information is not coming from the user sheet, but is specified in the initialization settings in the configuration.xml file:

Account Settings

Once created and configured as explained in the previous chapters, a user can log in the Designer. From the Dashboard, a menu is accessible at the top right of the interface, by clicking on the name of the user.

In that menu, the user can choose to log out, to restore his default settings or to access to his Account Settings.

The “Account Settings” menu contains 3 tabs:

ACCOUNT

This tab allows modifying the same account settings available when creating a user:

FIELDDESCRIPTION
First NameUser First Name
Last NameUser Last Name
LanguageLanguage used in the Designer interface
International SettingsDefault International Settings associated to the user. (The list of these international profiles and their content are located in your CPQ Install Directory ./conf/internationalSettings.xml)
Time ZoneDefault is GMT

For more details, please refer to the chapter Create a User in this document.

PASSWORD

This tab allows modifying the user password also available when creating a user. To do that, the

user will have to enter his current password, to enter a new one, and to confirm the new one. For more details, please refer to the chapter Create a User in this document.

USER PREFERENCES

This tab allows storing and modifying specific default settings linked to the user. In details:

FIELDDESCRIPTION
TeamDefault team of the user
WorkspaceDefault workspace of the user
VersionDefault version of the user
LanguageDefault language of the user for the Designer interface

When a fix of CPQ is applied on the CPQ server, these settings will be taken into account at the next login of the user. For instance, when logging in again, the user thus will navigate by default in the workspace and version defined in the preferences.

If no preferences are set, the user will enter by default the current workspace in the working version.
