Linking Quotes and Opportunities
The following chapter gives the procedure to link the quote to an opportunity. It also gives you the tips and specificities of the synchronization process between both entities.
Beware: The capability to link an Opportunity with PROS Quote depends on your Salesforce License. Please check with PROS Customer Service for additional advice if needed.
However, you MUST NOT modify the default PROS Quote Content f.com object.
To perform modifications regarding the Salesforce and/or managed package setup, you have to login using an administrator profile.
PROS Quote-Opportunity Relationship
The first step to link the PROS Quote to an opportunity is to create a custom field of type ‘lookUp relationship’ (lookUp on the Opportunity entity) on the Quote object.
Once the Quote and Opportunity are linked, the parent opportunity entity is visible in the Mapping Set.
You will then be able to use it like other parent Entities in the mapping IN and OUT.
Generation of the Opportunity Line Items
As the Opportunity entity is now linked to the PROS Quote, you can define a Mapping OUT in order to automatically generate opportunity line items when synchronizing the ‘Content’ and the ‘Overview’.
However, as the reference to a Salesforce Product is mandatory to create the line items, a product management policy (i.e. Rules to create/update product entities attached to the Opportunity Line items) has been put in place.
- Price Book logic Prices (of Products and Opportunity Line Items are created in the default Price Book or the Price Book of the parent Opportunity
- Mapping OUT: Opportunity Line Item to Product The mapping OUT to create Product is not exposed in the PROS Mapping Set designer but it complies with the following rules.
- A Product ID is mandatory to create an Opportunity Line Item. Thus the Line item can be created either by referencing an existing Product or by creating a new one.
- The capability to update/create products is driven by a Product Management policy that can be chosen in the custom settings. It has 4 values
1 = [Re-Use Only] Only existing products can be used to create opportunity line items. The synchronization process will not create nor modify the SFDC product entities. If no corresponding product is found on SFDC side, the Opportunity Line Item is not created.
2 = [Allow Creation Or Re-Use Existing]: Either the product already exists on SFDC side, in that case it is referenced to create the Opportunity Line Item. Or the product does not exist and it is created regarding the specific product mapping. Once a product exist on SFDC side, it cannot be modified by the next synchronization process.
3 = [Re-Use Existing And Update] Same as 1. In addition, existing products can also be updated following the specific product mapping during the synchronization process.
4 = [Re-Use (or Create if necessary) and Update] Same as 2. In addition, once a product exists on SFDC side it can be updated following the specific product mapping during the synchronization process
- Product entities are never deleted on SFDC Side
- The creation or update (if allowed by the product management policy) is controlled thanks to the following specific mapping :
| PRODUCT FIELDS | CORRESPONDS TO THE FOLLOWING FIELD FROM OPPORTUNITY LINE ITEM |
|---|---|
| Active (*) | – No corresponding field – |
| ProductCode (*) | Description (or ProductCode if such a custom field has been defined on the opportunity line item) |
| Description | Description |
| Family | – No corresponding field – (or Family if such a custom field has been defined on the opportunity line item) |
| Name | Description (or Name if such a custom field has been defined on the opportunity line item) |
| myProductCustomFieldName | myProductCustomFieldName |
(* Mandatory field)
It means that by default, the process looks for a SFDC product whose code is equal to the description of the Opportunity Line Item (and depending on the Product Management it can reference or create this product if needed).
Beware: If you plan to use a policy of product creation or update, check that you have allowed the creation of this entity in your profile as well as to edit the Price Books.
