Merge Documents

Smart Document allows you to inject a PDF external document when generating the final document in PDF format. To do so, the user will use the Add Merge Document function. Once added the tag can be edited in different ways.

Overview

The structure for the usage of Merge Document is as follow:



The reference link between the Master template and the external resources will always be dynamic based on a quote variable.

Before Getting Started

It's important to know that:

  • The Merge Document function can only be used when the Generated document format is PDF.
  • The format of the external resources merged in the generated document must be PDF.
  • The type of the fields and columns used to merge external resources must be URL.
  • Merge Document can be used in iterations and sub-templates.

How to Insert a Merge Document Tag

The insertion of the Merge Document tag is done in a new paragraph after the cursor position.

  1. Place the cursor in the Word document where the Merge Document should be inserted. In the add-in on the Home tab, click on the + next to the Merge Document menu.

  2. Select a tag from the list where the URL pointing to the PDF document will be filled in the quote.

    Useful Tip: Type text in the drop-down lists to filter the results.

    Important Note: If no tag is appearing in the list, check the quote model and ensure that the field / column is a URL type of data.



  3. Click on ADD TAG
    Note: You can rename the tag in the Tag field (except the fixed “#Type_ID_” section).


  4. The tag appears in the Word document. The add-in displays the edit mode for the Merge Document in the panel.

How to Edit a Merge Document Tag

To edit a Merge Document the cursor must be positioned on the tag in the Word part of the document.

In the add-in, click on the edit button as below:



The edit a Merge Document panel allows to modify:

  • The tag name
  • The source data tag

Once the edits have been made, the user must click on the button to save the changes. If

the user needs to cancel and not save the changes, they must click on .

How to Delete a Merge Document Tag

To delete a Merge Document tag you can:

  • Delete the tag on the Word document side.
  • Click on the delete button in the Edit merged document panel.

Generated Document

In the generated document, the PDF will be inserted where the tag was placed starting with a new page.

Limitations

Images must be kept in-line with text to be populated on document generation.
