Publishing and Testing
Once you have finalized the template by inserting all the necessary tags, you will need to follow these steps to publish the template and test it.
Prepare the Template File(s)
You can prepare:
- a zip file containing the main template and all related sub-templates (flat - no folder hierarchy)
OR
- several .docx files
NAMING CONVENTION
- The name of the main template Word document must be the same as the name of the template visible on the Publishing Console.
- The name of the sub-templates Word documents or the zip file are not constrained.
EXTENSIONS
All files (main template and sub-templates) must be Word and extensions must be .docx.
CONTENT OF THE TEMPLATE(S)
All Word documents must have a valid json uploaded via the add-in. At least one tag must be present in the Master template and sub-templates.
- Change the zip filename from *.docx.zip to *.zip
- Launch the command below to delete the MACOSX/ folder
zip -d <file_name_to_be_changed>.zipMACOSX/\*
Connect to the Document Designer
PRE-REQUISITES
To allow users access to the Document Designer, the administrator needs to configure PROS Home Roles & Groups in order to display the Document Designer Tile in the portal (https://login.YOUR_REALM.proscloud.com/login/).
Then, from the Roles & Groups page, the administrator needs to select the Document Designer Application in the left bar. Once done, select the Groups to allow to access to the Document Designer.
For the selected roles, the tile will be displayed in the PROS Home home page.
Access the Document Designer
To access the Document Designer, connect to the PROS Home (https://login.YOUR_REALM.proscloud.com/login/), then click on the Document Designer Tile. The user is presented with the list of templates for the current environment.
This list includes:
- Template name: Name of the template
- Last uploaded by: Name of the user that upload last a template (empty when no template is uploaded)
- Last uploaded on: Timestamp of the last upload (empty when no template is uploaded)
- Model: Model name(s) where the template is referenced
You can filter the list of templates by using the search box.
Upload a New Template
You can upload a new template by clicking on the Upload button. This action opens the upload template pop up.
You can upload file(s) by selecting them your computer or by using the drag&drop function. You are authorized to upload one or several .docx files or a unique zip file containing only .docx files. Click on the Upload button to finalize the action.
Back to the template list, you can see that the "Last uploaded by" and "Last uploaded on" have been updated with the user name and a timestamp.
Download an Existing Template
You can click on the download button to download the current template file. A ZIP file will be retrieved. The download action is not available if no templates have been previously uploaded.
Test the Template
Once the template is published. You should connect to the CRM and create a quote. After filling in the quote,close the quote and generate the document from the dedicated widget on the CRM quote object.
IN SALESFORCE
Choose the template you want to test in the drop-down list. Click Generate Report.
Once the generation is over the following message appears:
You can then go the Files tab and download the document for review.
IN MICROSOFT CRM
Choose the template you want to test in the drop-down list. Click Generate Report.
Once the generation is over the following message appears:
You will download the file from the Timeline widget located under the Details tab.
Generated Document Name
By default, the generated document will be named as follows:
Quote Name + “ “ + Print Action Name + “ “ + YYYY-MM-DD
You can rename the document upon creation by creating a customization on the CRM side to rename it.
