Best Practices & Limitations

Tags Manipulation

When you build your template using the Smart Spreadsheet add-in, textual items (tags) will be inserted in your Excel file.

All tags are linked to meta-data in your file, so they must not be altered directly at risk of breaking the consistency between the content and its metadata

To edit a tag, place your cursor on it and make the necessary changes in the add-in. It will be updated automatically.

To delete a tag, use the delete function in the edit panel of the add-in.

CAUTION: Copy pasting tags is forbidden and will always break the tag.

Table Manipulation

Once created in the Excel file, Dynamic tables should never be modified directly, but always by using the Add-in.

The following actions are available in the add-in:

  • Adding / Removing / Reordering columns

Limitations

GENERAL

  • Tags cannot be inserted below a table.
  • There can only be one table inserted per Excel file.
  • You can only add tags on one sheet within a workbook. The Add in will inform you if you are in the wrong sheet, as seen below:

Field and Column Tags

When inserting HTML-type content in the generated document, the formatting applied is the HTML formatting set in the quote. No transformation of the formatting will happen at generation time based on how the tag has been formatted in the Word template.

Image Tags

Image tags must be kept in-line with text to be populated on document generation.

Table Tags

A table can’t be inserted in a parent table.

Section Tags

A section can’t override the edit right assigned by a parent section.

Sub-template Tags

Concerning Word styles and formatting, the Master template is the one that will drive:

  • Styles (headings, paddings...)
  • Header and footer content
  • Fonts

PDF OUTPUT

  • Watermarks are not supported in PDF generation format.
  • Excel tables embedded in HTML fields cannot be rendered in PDF generation format.

HEADER & FOOTER

When introducing headers and/or footers in document templates involving master and sub-templates you need to be aware that:

  • The header and footers set in the master template always win. All headers and footers set in sub-templates will be ignored.
  • If you have several headers and footers set in master template based on Word sections, the sub-template will inherit the header and footer from the section the sub-template tags is set in.
  • All section settings set up in sub-template (including page orientation change) will be ignored.

TABLE OF CONTENT

  • In Word output format, the table of content will not be updated. It must be updated manually by the user after opening the document by pressing F9.
  • In PDF output format. the table of content will be updated.
  • Page break or section break are not allowed in the dynamic table of content set in Word.
