Publishing and Testing

Once the user has finalized his template inserting all the necessary tags, they will need to follow these steps to publish the template and test it.

Prepare the template file(s)

The user can prepare:

  • an .xlsx file

NAMING CONVENTION

  • The name of the Excel file must be the same as the name of the template visible on the Publishing Console.

EXTENSIONS

The file must be Excel and extension must be .xlsx

CONTENT OF THE TEMPLATE(S)

All Excel files must have a valid JSON uploaded via the add-in. At least one tag must be present in the template.

An extra step is required to be able to publish a zip file when using Mac.

Zip files generated with MAC OS are not compatible because when creating a zip file, MAC OS creates a MAC specific folder named MACOSX.

After creating the zip file, users will need to remove this specific folder for the upload to be successful.

Proceed as follows:

  • Change the zip filename from *.xlsx.zip to *.zip
  • Launch the command below to delete the MACOSX/ folder

Connect to the Document Designer

PREREQUISITE

To allow users access to the Document Designer, the administrator needs to configure PROS Home Roles&Groups in order to display the Document Designer Tile (https://login.YOUR_REALM.proscloud.com/login/).



Then, from the Roles & Groups page, the administrator needs to select the Document Designer Application in the left bar. Once done, they have to select the Groups that they want to allow to access to the Document Designer.



For the selected roles, the tile will be displayed in the PROS Home home page.



ACCESS THE DOCUMENT DESIGNER

To access the Document Designer the user must connect to PROS Home (https://login.YOUR_REALM.proscloud.com/login/), then click on the Document Designer Tile.

The user is presented with the list of templates for the current environment. This list includes: Template name: The name of the template Last uploaded by: Name of the user that upload last a template (empty when no template is uploaded) Last uploaded on: Timestamp of the last upload (empty when no template is uploaded) Model: Model name(s) where the template is referenced
The user can filter the list of templates by using the search box. Note: the search is only performed on templates names.

Upload a new template

The user uploads a new template by clicking on the upload button. This action opens the upload template pop up.
The user can upload a file by selecting it on their computer or by using the with drag&drop function. The user is authorized to upload one .xlsx file. They must click on the Upload button to finalize the action. Note: Each time the user uploads a template, the previous file is deleted.
Back to the template list, the user can see that the Last uploaded by and Last uploaded have been updated with his user name and a timestamp. Note: the timestamp is server time.

Download an existing template

The user is able to click on the download button to download the current template file. A ZIP file will be retrieved. The download action is not available if no template have been previously uploaded.

TEST THE TEMPLATE

Once the template is published. The user should connect to the CRM and create a quote.

After filling the quote, he can close the quote and generate the document from the dedicated widget on the CRM quote object.

ON SALESFORCE

The user will choose in the drop-down list the template they want to test. Then click on Generate Report.



Once the generation is over the following message appears:



The user can then go the Files tab and download the document for review.

ON MICROSOFT CRM

The user will choose in the drop-down list the template he wants to test. Then click on Generate Report.



Once the generation is over the following message appears:



The user will download the file from the Timeline widget located under the Details tab.
