Getting Started

Prerequisites

Before starting working with Smart Spreadsheet you should:

  • Have built your quote model and have it in a table state where columns, views, fields are not changing anymore.
  • Have created an Excel Doc Gen report action in your Quote Model (Actions#GenerateExcelReport)

To start working with Smart Spreadsheet, follow these simple steps:

Install the Smart Spreadsheet Excel add-in

Individual install

The Smart Spreadsheet Add-in will be available for all licensed users of Microsoft Word (see supported versions in our Technical Requirements page under the Software Dependencies section). Installation will be performed through the Office Add-in Store, which will be available in the coming weeks.

If you cannot access the Office store from your device, please check the following section. Centralized Deployment of Smart Spreadsheet Add-in

In some cases, the access to the Office Store is not granted to the Smart Spreadsheet users. In this case, Centralized Deployment is used to install the add-in to a selected group of users.

IDENTIFY THE STAKEHOLDERS

  • Identify the Office 365 administrator in the organization

This step is key in the process, only the administrator will be deploying the add-in for a set of users.

  • Identify who will be the Smart Spreadsheet add-in users in the organization

That way it will be easier to have IT providing access to the right set of users.

DETERMINE IF CENTRALIZED DEPLOYMENT OF ADD-INS WORKS FOR YOUR ORGANIZATION

Centralized Deployment is the recommended and most feature-rich way for most customers to deploy Office add-ins to users and groups within your organization. If you're an admin, use this guidance to determine if your organization and users meet the requirements so that you can use Centralized Deployment.

Centralized Deployment provides the following benefits:

  • A Global admin can assign an add-in directly to a user, to multiple users via a group, or to everyone in the organization.
  • When the relevant Office application starts, the add-in automatically downloads. If the add-in

    supports add-in commands, the add-in automatically appears in the ribbon within the Office application.

  • Add-ins no longer appear for users if the admin turns off or deletes the add-in, or if the user is removed from Azure Active Directory or from a group that the add-in is assigned to.

Centralized Deployment supports three desktop platforms Windows, Mac and Online Office apps. Centralized Deployment also supports iOS and Android (Outlook Mobile Add-ins Only).

It can take up to 24 hours for an add-in to show up for client for all users.

CENTRALIZED DEPLOYMENT OF SMART SPREADSHEET ADD-IN VIA THE ADMIN CENTER

  1. In the admin center, go to the Settings> Add-ins
  2. Select Deploy Add-in at the top of the page, and then select Next.
  3. Select the option to add an add-in from the Office Store, make your add-in selection.
  4. On the next page, select Everyone, Specific users/groups, or Just me to specify who the add-in is deployed to. Use the Search box to find specific users or groups.
  5. Select Deploy.
  6. A green tick appears when the add-in is deployed.
  7. When finished, select Next. If you've deployed to just yourself, you can select Change who has access to add-into deploy to more users.
Important: Note

Users might need to relaunch Office to view the add-in icon on the app ribbon. Outlook add-ins can take up to 24 hours to appear on app ribbons.

MANAGE ADD-INS IN THE ADMIN CENTER

Office add-ins help you personalize your documents and streamline the way you access information on the web. After an admin deploys add-ins for users in an organization, the admin can turn add-ins off or on, edit, delete, and manage access to the add-ins.

Add-in states

An add-in can be in either the On or Off state.

Turned offAdmin turned off the add-in.Users and groups assigned to the add-in no longer have access to it. If the add-in state is changed to Active, the users and groups will have access to it again.
DeletedAdmin deleted the add-in.Users and groups assigned the add-in no longer have access to it.

Consider deleting an add-in if no one is using it anymore. For example, turning off an add-in might make sense if an add-in is used only during specific times of the year.

Delete an add-in

You can also delete an add-in that was deployed.

  1. In the admin center, go to the Settings> Services & add-ins
  2. Select the deployed add-in.
  3. Click on Delete Add-In. Remove the Add-in button on the bottom right corner.
  4. Validate your selections, and choose Remove add-in.

Edit add-in access

Post deployment, admins can also manage user access to add-ins.

  1. In the admin center, go to the Settings > Services & add-ins
  2. Select the deployed add-in.
  3. Click on Edit under Who has Access.
  4. Save the changes.

CONSIDERATIONS WHEN ASSIGNING AN ADD-IN TO USERS AND GROUPS

Admins can assign an add-in to everyone or to specific users and groups. Each option has implications:

  • Everyone: This option assigns the add-in to every user in the organization. Use this option sparingly and only for add-ins that are truly universal to your organization.
  • Users: If you assign an add-in to an individual user, and then deploy the add-in to a new user, you must first add the new user.
  • Groups: If you assign an add-in to a group, users who are added to the group are automatically assigned the add-in. When a user is removed from a group, the user loses access to the add-in. In either case, no additional action is required from the admin.
  • Just me: If you assign an add-in to just yourself, the add-in is assigned to only your account, which is ideal for testing the add-in.

The right option for your organization depends on your configuration. However, we recommend making assignments by using groups. As an admin, you might find it easier to manage add-ins by using groups and controlling the membership of those groups rather than assigning individual users each time. In some situations, you might want to restrict access to a small set of users by making assignments to specific users by assigning users manually.

Retrieve the quote data model

Connect to the Document Designer

To access the Document Designer the user must connect to the PROS Home (https://login.YOUR_REALM.proscloud.com/login/), then click on the DocGen Tile.

The user is presented with the list of templates for the current environment. This list includes:

  • Template name: The name of the template
  • Last uploaded by: Name of the user that upload last a template (empty when no template is uploaded)
  • Last uploaded on: Timestamp of the last upload (empty when no template is uploaded)
  • Model: Model name where the template is defined

The user can filter the list of templates by using the search box.

Note: The search is only performed on templates names.


Export the quote data model

The user will find the model corresponding to its template and by clicking on the Export button will download the JSON file.

The JSON file must be saved on the user computer to be used later in the Add-in.



Load the quote data model

To use Smart Spreadsheet the first step is to load the Data Model. To do so, go to the Settings tab. Click on to load the Data Model, which must be a valid JSON file. The user should also choose the Component they wish to use. The user only has to do this once at the creation of the template. When reopening the document, the JSON will still be here. The user can update your JSON data source model if necessary. However, please note that changing the selected Component is not recommended and likely to break the existing tags. The validation center will notify the user if inconsistencies have been introduced during a JSON file update.

Set document default formatting for numeric values

Smart Spreadsheet allows you to choose how dates, currencies and numerical data will be formatted in your document.

Culture: select the culture to load its default formatting. You can modify it if necessary. Culture is used to set the thousands separator. You will not be allowed to change it in the next settings. Date: edit the format for all the dates tags in the document. Datetime: edit the format for all the dates with time tags in the document. Currency: edit the format for all currency numeric tags you will place in the document. Number: edit the format for all numeric tags you will place in the document. Percentage: edit the format for all percentage tags you will place in the document. Important For each item, the user is able to visualize how the rendering of the chosen format just below the edition field For each item, only the white background edition field can be updated. The thousands separators can only be changed by using the Culture settings. This cannot be changed by the user. The user will be able to override these formats later on, for each tag of the template, individually.
CURRENCY CHOOSE THE PREFIX AND SUFFIX: ¤ REPRESENTS THE CURRENCY SYMBOL. (E.G. $, €, …) CUR REPRESENTS THE CURRENCY CODE. (E.G. USD, EUR, …) YOU CAN ALSO CHOOSE THE NUMBER OF DECIMAL PLACES. EACH 0 REPRESENTS ONE DECIMAL PLACE.
Number & Percentage Choose the number of decimal places. Each 0 represents one decimal place.
Date d Represents the day of the month as a number from 1 through 31. dd Represents the day of the month as a number from 01 through 31. ddd Represents the abbreviated name of the day (Mon, Tues, Wed etc). dddd Represents the full name of the day (Monday, Tuesday etc). h 12-hour clock hour (e.g. 4). hh 12-hour clock, with a leading 0 (e.g. 06) H 24-hour clock hour (e.g. 15) HH 24-hour clock hour, with a leading 0 (e.g. 22) m Minutes mm Minutes with a leading zero M Month number(eg.3) MM Month number with leading zero(eg.04) MMM Abbreviated Month Name (e.g. Dec) MMMM Full month name (e.g. December) s Seconds ss Seconds with leading zero t Abbreviated AM / PM (e.g. A or P) tt AM / PM (e.g. AM or PM) y Year, no leading zero (e.g. 2015 would be 15) yy Year, leading zero (e.g. 2015 would be 015) yyy Year, (e.g. 2015) yyyy Year, (e.g. 2015) st Date ordinal display from day of the date (e.g. 15 would be 15th)
