Sharing Search Results

Sharing search results allows you to efficiently distribute important information to relevant stakeholders. This feature is particularly useful for collaborative projects, where team members need access to the same data. Before sharing, ensure that the search results are accurate and that you have the necessary permissions to share the data. Consider the format that best suits the recipients' needs, such as HTML for easy viewing or CSV for data analysis.

  1. Click the email header icon () to display the Share Search Results popup.
  2. Enter the following details:
    1. From: Select an email address.
    2. To: Add email addresses of the recipients.
    3. Beside the To field, click CC to add "carbon copy" recipients.
    4. (Optional) Subject: A subject based on your search is already added. You can edit and customize this as needed. The email body contains the search results, to which you can add context if you will.
    5. Select HTML, XLS, CSV, or PDF to specify the output format of the report to be transmitted. Multi-file results are saved to your choice of an encrypted or unencrypted Zip-format file.
  3. Click Share.

    You can navigate to the Agreement Detail page by clicking the agreement name hyperlink in the exported document. You can use the org-wide email address while sending an email. For more information, see Setting Up Organization-Wide Email Addresses. You can share multiple documents displayed in the search result as a downloadable link with a Salesforce Contact or any recipient. For more information, see Emailing Multiple Agreements.

After completing the steps above, the search results are shared with the specified recipients in the chosen format. The recipients receive an email containing the search results, which can be accessed directly from the email. If multiple documents are included, they are available as a downloadable link in a Zip-format file.
