Reconciling Smart Elements in an Agreement

Ensure that you have a checked out agreement document containing few smart fields and clauses under the X-Author Contracts ribbon.

  1. On the X-Author Contracts ribbon, click Check-In.
  2. If you have multiple occurrences of a smart clause in your document and you've only changed or updated one instance of the clause, you'll see a validation message first. See the Syncing Clause Edits topic given below.
  3. The following sequence of dialog boxes will appear:
  4. Select one of the options:
    • To check in the agreement document with redlines, choose With Redlines.
    • To check in the agreement document without redlines, choose Without Redlines.
    • To check in the agreement document as final, choose Final - to be signed.

    Steps 3 to 8 appear only when you select the Reconcile Document check box.



  5. In the Reconcile the Smart fields dialog box, for each field label, review the Previous Value or the Current Value which has Read-Only access. Only the modified fields appear on this page.


  6. Do one of the following.
    • Click Backor Cancelto return back to the agreement document.
    • Click Nextto move to the next step for the reconciliation of smart fields in sections and tables.
  7. In the Reconcile the smart Fields within Sections and Tables dialog box, review the values of the smart fields you want to use in the sections and tables of the Salesforce record.


  8. Do one of the following:
    • Click Backor Cancelto return back to the Reconcile the Smart Fields dialog box.
    • Click Nextto move to the next step for the reconciliation of smart clauses.
  9. In the Reconcile the Smart Clauses dialog box, for each changed clause, you see the non-editable Current Clause Text, the Previous Clause Text and the comments section which contains the comments made inside the clause boundary and the Microsoft Word comments (inlined or balloon).


  10. Do one of the following:
    • Click Backto return to the smart field reconciliation dialog box.
    • Click Nextto move to the next step for term exceptions and its associated approvals.
  11. In the Exception Approvals dialog box, you can review the term exceptions and the approval requests for the clause changes accepted in this reconciled document. Clicking Select all approvers selects all the term exception clauses and clicking Submit for Approval submits these clauses to the respective approvers.


  12. Do one of the following.
    • Click Backto return to the smart clause reconciliation dialog box.
    • Click Finishto complete the reconciliation process.

You have completed the reconciliation process in X-Author Contracts.

You can view the red strikethrough for the deleted content and blue text for the newly added content in the Agreement Clause on an agreement record. Also, note that the system may fail to save some of the content of the clause to the fields of the Agreement Clause record.

Syncing Clause Edits in Multiple Occurrences of a Smart Clause

If you have multiple occurrences of a smart clause in your document you may make changes to one instance and forget to make similar changes in the other clauses. X-Author Contracts alerts you if the clause content of your smart clause is not in sync across all its occurrences within a document. When you make changes to one instance of a clause and leave the other clause instances unchanged and then check-in your document, you will see a validation message reminding you that your clause content is not updated for all the instances of that clause. You thus have the flexibility to either update all the clause instances with similar edits or continue with check-in without changing the clause.

When you make changes to one instance of a smart clause which has multiple occurrences in your document and click Check-In, you'll see the following message:



Click Yes, if you want all your clauses to have identical content, otherwise, click No to proceed with check-in. If however, you have already made the same changes to all the similar smart clauses, you will not see the validation prompt when you click Check-In.
