Following is the new feature introduced in this release:

Add ad hoc approvers

Ad hoc approval is a feature that enables you to add one or more approvers to an existing approval process after the approval request is submitted. This is sometimes required so that all the necessary approvals can be taken for the clause approval according to the business need in a single process. You can add one or more approvers (user or role or queue) to the existing approval process as per the requirement.

  • If the status of the approval request is Waiting, you can add one or more approvers (user or role or queue) before, after, or parallel to other approvers.
  • If the status of the approval request is Pending, you can add one or more approvers (user or role or queue) only after, or parallel to other approvers.
  • You can view the newly assigned approvers' responses in OCC.

This feature is available for Edit, Negotiate, and Negotiate plus user profiles in the OCC access mode.

Enhancements

Following are the enhancements introduced in this release:

Reassign an approval request from OCC

Reassigning is the process of assigning your clause approval request to another approver. You can reassign the approval requests to a user, role, or queue. When you open the document in the OCC, you can see the Reassign button which you can click to reassign your approval request. The other approver (to whom you have reassigned your request) receives an email notification containing the approval details. The approval details pane is updated with their approval details, and your details are removed. Your access to approver action buttons (approve, reject, cancel, reassign) is also removed after you reassign the approval request, but you can see the other approver's response on the clause approval. This feature is available for Edit, Negotiate, and Negotiate plus user profiles in the OCC Access Mode.

Approve or reject a clause from OCC

The approvers can now view and act on the clauses directly from OCC. The approver approves the clause if the terms and conditions mentioned in the clause satisfy the business rules. The approver can add comments (optional) and approve the clause. After the clause is approved by all, its status is updated to Approved in the approval pane. In the document, a Clause Approved-Pending True-Up tag shows on the top left corner of the clause. In the smart data pane, a green stamp icon and a warning sign are visible for the approved clause.

The approver can reject the clause if the terms and conditions mentioned in the clause do not satisfy the business rules. The approver can add comments (optional) and reject the clause. After a clause is rejected by any approver, its status is updated to Rejected in the approval pane. In the document, a Clause Rejected-Pending True-Up tag shows on the top left corner of the clause. In the smart data pane, a red stamp icon and a warning sign are visible for the rejected clause.

After the clause is approved or rejected, the approver action buttons (approve, reject, cancel, and reassign) are not available for that clause. The approver can view his comments by clicking on the comments icon. The user must manually true up and accept the changes for the approved or rejected clause. This feature is available for Edit, Negotiate, and Negotiate plus user profiles in the OCC access mode.

Undo clause changes 

After the clause is canceled or rejected in the approval process, you must manually true up and accept the changes to make the clause editable again. If you have the privilege to Negotiate access mode in OCC, True-up is not available for you and hence you cannot undo the changes in the clause. Now an Undo Change button is introduced, which you can see for clause approval request that is either canceled or rejected. If you click Undo Change button the clause action gets reverted and the clause becomes available for editing, swapping, or deleting. The Undo Change button is available for Negotiate, Negotiate Plus, and Edit access modes in OCC.

Approve or reject an approval request when the document is opened in read-only mode

An approver can navigate to clauses, add comments and approve or reject a clause in read-only mode also. The approver can approve, reject, or reassign the request, but cannot true up the document in read-only mode.
