Transactions may be permanently deleted after a specified retention period. You can configure the data retention policy to keep transactions left in various statuses for an unlimited or set period of time. For example, your organization may want to keep completed transactions for an unlimited amount of time. On the other hand, transactions in other statuses, such as archived or expired, may not be essential to your organization and can be cleared out to free up your data storage.

By default, transactions are deleted after 120 days unless they are in the sent status.

To configure the data retention policy

  1. Click the app launcher () and select Admin.
  2. In the left panel, click Conga Sign Settings > Data Retention.
  3. To reset all Data Retention Policy page values to their default, click Reset Defaults

  4. To set a specific number of days for storage, uncheck the Unlimited check box and enter the number of days for the following fields: 
    1. Draft Transactions: Specifies how long draft transactions are stored. The number of days to deletion is calculated from when the transaction was created. 
    2. Completed Transactions: Specifies how long completed transactions are stored. The number of days to deletion is calculated from when the transaction’s status changes to Completed.
    3. Archived Transactions: Specifies how long archived transactions are stored. The number of days to deletion is calculated from when the transaction’s status changed to Archived.
    4. Expired Transactions: Specifies how long expired transactions are stored. The number of days to deletion is calculated from when the transaction was created.
  5. Click Save Settings
