CRM Customization

information: This section is optional for the installation and setup of the Smart CPQ managed solution. It just explains useful standard CRM capabilities for customizing the overall quoting workflow.

The following chapters gives some tips regarding the way the CRM can be configured to get the best from Smart CPQ managed solution and make it fit your business requirements. For instance, they advise on how to associate standard CRM entities together and how to modify forms, buttons, fields and translations on standard CRM entities like the Quote or Opportunity.

Warning: You should NOT attempt to modify the classes, forms and other code elements of the Smart CPQ Solution. If you need to alter these elements for customization purpose, please create new ones based on the Smart CPQ solution, then make changes to these newly created elements.

For parameterization purpose, you may have to modify the Quote entity and other Smart CPQ entities.

To perform modifications regarding MSCRM and/or the Smart CPQ managed solution setup, you must login using a System Administrator profile.

Setup Standard MS Dynamics Capabilities

OVERRIDING THE DEFAULT LABELS AND TRANSLATIONS

To be able to modify and import translations in a given language, the pack - provided by Microsoft - corresponding to this language must have been installed on your CRM instance first.

In order to modify the default translations provided in the standard solution, log in as a System Administrator and follow the steps below:

  1. Open the setup menu in the top right menu bar and select Advanced Settings.
  2. Go in the Settings > Solutions menu of the navigation bar
  3. Select your solution and click on Export Translations

Your solution has to be in unmanaged mode to modify the default translations otherwise you will get a warning message

  • When prompted with the following message, click on OK:


  • Download the exported zip file and extract the XML files contained in it. Translate all the elements in the new language.

The exported elements that could be translated are those marked as translatable in the MSCRM customization menu.

  1. You have then to re-import the elements you have translated in your solution. In the solution menu, click on Import Translations.
  2. Select the modified zip file and click on Import.
  3. Once done, click on Publish all customizations in the actions menu.

If you want to translate textual elements more globally than just on a given solution, you can do it as a System Administrator through the Settings > Data Management menu by using the "Export/Import fields translations” sections

DUPLICATING THE DEFAULT QUOTE FORM

By default, a Smart CPQ form is delivered within the managed solution for the CRM Quote entity. Associating it with a Smart CPQ Setup entity allows you to address a given quoting workflow.

If your organization requires several quoting scenario to be addressed, the recommended way consists in duplicating the default quote form, customize it as needed and associate it with a different Smart CPQ Setup.

In order to duplicate the default quote form, proceed as follows:

  • Sign in the make.powerapps.com portal.
  • Select the right environment and access the solution to be modified.
  • Search for the Quote table and navigate to the Forms menu.


  • Open the Smart CPQ form and click on Save As.


  • Give your new form a name and description and Save.


  • Returning back to the list of forms, the duplicated form is now available for edition.

MODIFYING A QUOTE FORM

The CRM Quote entity contains by default one form with an overview of its attributes and linked entities. It contains several tabs, among which is the CPQ Quote tab. It is possible to customize both. The following chapters will show you how to modify the CRM Quote form and its CPQ Quote tab.

The CPQ Quote tab is dedicated to data from CPQ. Modify this tab to add or remove CRM fields is possible but presents a low interest in comparison with the configuration of the rest of the CRM

Quote form more dedicated to this usage.

Accessing the Quote form editor

The modification of the CRM Quote form can be performed thanks to the MSCRM form editor:

  1. Sign in the make.powerapps.com portal.
  2. Select the right environment and access the solution to be modified.
  3. Search for the Quote table and navigate to the Forms menu.
  4. Click on the Smart CPQ form or one of its duplicates, if any.


Adding a table column to a form

The following procedure presents how to add a text column in a CRM Quote form through an example.

  • Access the Quote form editor (See previous paragraph).
  • Select the right section / tab of the form in the explorer and click on Form Field in top menu bar.


  • From the left explorer, you can either click on an existing table column (e.g. Data Locale Override or Customer Correlation Context) from the list so that it is added to the form, or create a new one by clicking on New table column.


  • When creating a new column, simply fill in its properties in the right panel. For instance:


  • Click on Save.
  • Then, as for any existing column, click on it from the list so that it is added to the form.
  • Click on Save and Publish.

The new column is now available in your Quote form.

If you add new columns as part of the Quote entity (or entities linked to the Quote used in the Smart CPQ Mapping), pay attention to give them names different from those of the Quote entity (or linked entity) so that there is no overlap during the synchronization with CPQ.

Controlling columns access rights

From the make.powerapps.com portal, you can also handle security rights on table columns in forms.

  1. Access the Quote form editor (See previous paragraph).
  2. Click on a column in a given section / tab of the form. Its properties are displayed in the right panel.

Click on Edit table column.



  • In the Advanced Options, check Enable column security.


  • Click on Save and Publish. In the Quote table, the corresponding column is identified by a key icon.

Once enabled, the security rights on columns can be managed as follows:

  1. From the CRM, go in the Advanced Settings menu and navigate to the Settings > Security menu in the navigation bar.
  2. Open the Field Security Profiles menu.
  3. Select a profile in the list or create a new one.
  4. In the left pane, click on Fields permissions.
  5. Select your field by double-clicking on it and modify its rights.
  6. Click on OK and then on Save. Finally click on Publish All Customizations.

Disabling Auto-Save on Forms

By default, the CRM has auto-save activated on all entity forms. It means that a given form is periodically saved and that no Save button is available on entity forms by default.

If you determine that auto-save risks to cause problems with any extensions you are using, you can disable it for your organization.

  1. Go to Settings > Administration.
  2. Choose System Settings.
  3. For the Enable auto-save for all forms option, select No.

There's no setting to disable auto-save for individual entities or forms.



To know how to access the form editor for the Quote, please refer to the chapter Accessing the Quote Forms Editor. Note that it is possible to modify the forms of other entities in the same way.

From there, it is possible to modify the structure of the form, to add/remove fields and section, etc. You can also access the “INSERT” tab to help you design your global form, tabs and sections:

DEFINING QUOTE STATUS

In the MSCRM Quote entity, The "Status Reason" field is at the core of the approval workflow. This field can be edited to add, modify or remove statuses in order to customize this workflow.

  1. Go in the Settings > Customization menu in the navigation bar.
  2. Open the “Customize the system” menu.
  3. In the Components > Entities directory, select the Quote entity.
  4. Click on Fields, then select the "Status Reason" and click Edit.


  1. By default, in the "Type" section, select the Draft status. This corresponds to the status where a Quote (in CRM & in CPQ) is editable. A list of status reasons appears at the bottom.
  2. To add more status reasons if needed (Approved, Rejected, etc.), click on Add. Enter the label of the new status reason and click on OK.
  3. Do not forget to Save and Publish your modifications.
  4. The new Status Reason is now available in the Quote entity.

MODIFYING PARENT ENTITIES LAYOUT

The Quote entity is by default linked to the Account and Contact entities. These entities are Parent entities of the Quote.

The Quote can also be linked with any other entity available in the CRM. Once the link between the Parent entity and the Quote is configured, the layout of the Parent entity can be modified to view the

list of associated Quotes linked to it.

To include this section in the Parent entity Main form, proceed as follow: For instance, the Opportunity entity is parent from the Quote entity.

  1. Go in the Settings > Customization menu in the navigation bar.
  2. Open the “Customize the system” menu.
  3. In the Components > Entities directory, select the Opportunity entity.
  4. Click on Forms, then select your Opportunity Main form.
  5. In the form, choose where you want to insert the Quote section. Go in the “INSERT” tab and click on 1 tab.
  6. The tab is inserted in the form. If you double-click on it, a window pops up to configure the new tab. Give it a name and a label and click on OK.
  7. Put the focus on the new tab and add a one-column section.
  8. Put the focus on the new section and add a sub-grid. A window pops up to configure the sub-grid. Fill the following parameters and click on Set.
  9. Save and Publish your modifications.

You can now see the Quote section in your Opportunity Main form.

ACCESSING PLUGIN TRACE LOGS

You may need to have access to plugin trace logs for debugging purpose or simply to see what is going on in the CRM when plugins are executed.

The activation of plugin trace logs has to be done in two steps:

  1. Authorize those traces to be logged in the CRM.
  2. Activate those logs for the Smart CPQ managed solution.

For the activation in the CRM:

  1. Open the setup menu in the top right menu bar and select Advanced Settings.
  2. Go in the Settings > Administration menu of the navigation bar.
  3. Open the System Settings menu.
  4. In the Customization Tab, set the All value for the Enable logging to plug-in trace log setting.
  5. Click OK.


For the activation for the Smart CPQ managed solution:

  1. Activate the plugin trace logs in the CRM (see above)
  2. Open the Smart CPQ Configuration app.
  3. Open a Smart CPQ Setup entity of your choice.
  4. Set the Trace Logging setting to Yes.

Save.



Once both activations are completed, you can see the plugin trace logs generated by:

  1. Opening the setup menu in the top right menu bar and select Advanced Settings.
  2. Go in the Settings > Plug-In Trace Logs menu of the navigation bar.


EXPORT SMART CPQ ENTITIES TO ANOTHER DYNAMICS ENVIRONMENT

If you manage different instances of MS Dynamics (e.g. development, preview, production...), you may want to export the setup done in the Smart CPQ Configuration app from one environment to the other.

In order to do that, you can export the data from Smart CPQ managed entities from the source instance and import the data in your destination environment:

  1. Sign in the make.powerapps.com portal.
  2. Select the source environment and access the solution to be modified.
  3. Navigate to Tables and select the table you want to export (e.g. Smart CPQ Setup or Smart CPQ Mapping Set).
  4. In the top menu bar, select Data and click on Export Data.
  5. Click on Download exported data in the right panel when available.


In the destination environment, follow the same steps 1 to 4 above: in the Data menu though, select Get Data instead of Export Data and proceed with the import of what you previously exported.



Access Smart CPQ From Any Entity

OVERVIEW

By default, Smart CPQ is accessible only from the CRM Quote, leveraging the Smart CPQ Quote form delivered with the Smart CPQ managed solution. However, by configuring elements on top of the Smart CPQ managed solution as described below, you can also open CPQ from other tables of the CRM, like an Opportunity for instance. The following sections explain in details how to perform this configuration.

Assumptions

We assume that the Smart CPQ managed solution is already installed and setup.

Note: that the step navigator and document generator widgets are not used in this scenario: only a given step of the CPQ quoting workflow is accessible via an action in the CRM entity from which CPQ is opened.

For the sake of this example, we assume that the Target table from which CPQ is accessed is the Opportunity.

Warning: This procedure is given as an example of implementation that follows Conga best practices.

There are other means to come to the same result and Conga declines all responsibility in the design choices you may make.

CREATE A NEW SOLUTION

You first need to create an unmanaged solution to gather all elements allowing the access to CPQ from a Target (e.g. Opportunity) table.

  1. Go to https://make.powerapps.com
  2. Click on Solutions in the left menu.
  3. Click on New Solution.
  4. Give your solution a name (e.g. Smart CPQ Easy Access) and click on Create.


ADD THE QUOTE AND TARGET TABLE FORMS TO YOUR SOLUTION

The first elements to add to the solution you just created are a CRM Quote form provided in the Smart CPQ managed solution and a form of the Target table from where CPQ will be opened.

  1. Click on the name of your solution to manage its content.
  2. Navigate to Tables in the Objects explorer.
  3. Click on Add existing.
  4. Select Table in the drop down menu.


  • Select the Quote table and the Target table (e.g. Opportunity) in the list and click Next.


  • In the list of Selected tables, click on the link Select Objects for the Quote entry.


  • Enter the Forms tab and select the form named Performance Quoting, then click on Add. This is the form used to display CPQ.


  • Back in the list of Selected tables, click on the link Select Objects for the Target (e.g. Opportunity) entry.


  • Enter the Forms tab and select the Target table form from which CPQ will be accessed (e.g. Opportunity Main), then click on Add.


  • Back in the list of Selected Tables, click on Add. You should see the two tables added to your solution.


CREATE A NEW QUOTE LOOKUP COLUMN IN THE TARGET TABLE

In order for the Target (e.g. Opportunity) table to allow the access to CPQ, a Quote lookup field must be added to reference the corresponding Quote to be opened.

  1. Within your solution, navigate to Tables.
  2. Select the Target (e.g. Opportunity) table in the explorer.
  3. Click on Columns.
  4. Click on New Column.
  5. Fill the required fields to create a lookup field on the CRM Quote table (see example below).
  6. Click on Save.


ACTIVATE THE QUOTE FORM

By default, in the Smart CPQ managed solution, the Quote form named Performance Quoting is not active. You need to activate it so it can be used in your solution.

  1. Within your solution, navigate to Tables.
  2. Select the Quote table in the explorer.
  3. Click on Forms.
  4. Select the form Performance Quoting in the list.
  5. The form is turned off by default. Click on Turn On.


  • Once the form is active, open it and copy its ID from the address bar of your web browser.
  • Click on the back action at the top left to close the form.

CREATE A NEW TAB IN THE TARGET TABLE FORM

In order to display CPQ in the Target table (e.g. Opportunity), a new tab must be created in the Target table form (e.g. Opportunity Main) previously added to your solution.

  1. Within your solution, navigates to Tables .
  2. Select the Target table (e.g. Opportunity) and click on Forms.
  3. Select the form you previously added to your solution (e.g. Opportunity Main) and click on its name to open it.


  1. In the left menu, click on Components.
  2. In the Layout list, click on 1-column tab.
  3. Edit the properties of the tab:
    1. Give it a label and a name.
    2. Make sure Expand this tab by default, Expand first component to full tab and Hide are checked.
    3. While checking the Hide option, use the Show Hidden toggle at the bottom of the screen to be able to see the tab on the simulated view.
  4. Click on Save.


ADD REQUIRED LIBRARIES TO THE TARGET TABLE FORM

In order for the access to CPQ to be operational, some logic is delivered part of the Smart CPQ managed solution and needs to be associated with the Target table Form (e.g. Opportunity Main) in your solution.

  1. Within your solution, open the Target table form (e.g. Opportunity Main)
  2. Click on Form Libraries in the left menu.


  • Click on Add Library.
  • Browse or search the list and select the following resources:
    1. prosqtx_/js/cartApiUtils.js
    2. prosqtx_/js/ribbonUtils.js


ADD THE QUOTE LOOKUP FIELD TO THE NEW TAB

Now that the tab displaying CPQ is added to the Target table form, you need to add the Quote lookup field you created earlier in that tab.

While editing the Target table form:

  1. Click on Form field.
  2. Search for the Quote lookup field you created.
  3. Drag and drop it to the tab.


  • Click on the field and edit the its properties:
    • Make sure Hide label is checked.
    • Make sure Lock is checked.
  • Click on Save.

ADD COMPONENT FORM CONTROL TO THE QUOTE LOOKUP FIELD

In order to display CPQ in the tab you created, a dedicated Component Form Control must be associated with the Quote lookup field you created. For now, Microsoft does not allow to perform this action in the make.powerapps interface. You need to Switch to Classic:



Edit the quote field:

  1. Scroll down to the tab you created.
  2. Double-click the Quote lookup field.
  3. Navigate to the Controls tab.
  4. Click on Add control.


  • Select Form Component Control.
  • Click on Add.


  • Click on the Configure properties pencil.


  • Select Bind to a static value and paste the following value from the Activate the Quote form step above:
Value: "<QuickForms><QuickFormIds><QuickFormId entityname="quote">9c2b74d5-89d7-ec11-a7b5-000d3a363bda</QuickFormId></QuickFormIds></QuickForms>"


  • Check all the properties for Form Component Control,
  • Click OK, then Save and finally Publish.


CREATE BUTTONS

Two buttons must be created to complete the configuration:

  • One button to open CPQ from the Target table (e.g. Opportunity).
  • One to close the CPQ Quote and sync its content to the CRM from the Quote form.

To create and edit buttons, the way described here consists in using the Ribbon Workbench with XrmToolbox

The best practice when creating custom buttons via this means is to embed them in a dedicated unmanaged solution that you must create first.

Create a new solution for ribbon buttons

This solution only contains the Target table (e.g. Opportunity) with no sub-component.

  1. Click on Solutions in the left explorer.
  2. Click on New Solution.
  3. Give your solution a name (e.g. Smart CPQ Ribbon Buttons) and click on Create.


  1. Click on the name of your solution to manage its content.
  2. Navigate to Tables in the Objects explorer.
  3. Click on Add existing.
  4. Select Table in the drop down menu.


  • Select the Target table (e.g. Opportunity) in the list and click Next.


  • In the list of Selected tables, do not select any object of the Target table, just click on Add.


Download, install, and open Ribbon Workbench

Warning: This procedure is based on the documentation on Ribbon Workbench provided by its editor. Smart CPQ is not responsible for the accuracy of this documentation and presents it here solely to help configure the solution.


  • Run XrmToolbox.exe


  • Search and install Ribbon Workbench.


  • Create a new connection to your environment.


  • Select Connection Wizard.


  • Change your environment URL, uncheck Use your current credentials and click on Next.


  • Enter your Domain (optional), Username and Password and click on Next.


  • Enter your environment name and click on Finish.


  • Connect to your environment.


  • Open Ribbon WorkBench.


  • Open the solution you created in the previous chapter (e.g. Smart CPQ Ribbon Buttons).


Create a Close Cart Button

This button aims at closing the CPQ quote and syncing its content back to the CRM. In order to create it within Ribbon Workbench:

  • Drag and drop a new button onto the Form ribbon:


  • Fill the properties of the button as follows:

Create a new command

Now that the button is created, you must associate a command with it:

  1. Click on the + in the Commands section.
  2. Fill the id of the command (see example below).
  3. Click on Add Action.
  4. Add a new JavaScript Action.

The creation of the Open Cart button can be performed by following the exact same steps as for the Close Cart button above. You must use the information below for the various steps:

ADD DISPLAY/ENABLE RULES TO BUTTONS

The two buttons you have created must not be displayed at the same time on the CRM interface:

  • the Open Cart button must be displayed on the Target table form (e.g. Opportunity Main).
  • the Close Cart button must be visible only on the Quote form you added to the Target table.

In order to drive the visibility of the two buttons, you must associate the following rules:

  • enableCloseCart method returns true if the Quote Component Form Control is loaded.
  • enableOpenCart method returns true if Quote Component Form Control is not loaded.

Enable Close Cart rule

  • Click on the + in the Enable Rules section.


  • Enter the following parameters:

Add the enable rules to the close and open cart commands

Once both the commands and rules are created, you must associate them:

  • For each command, click on Add Enable Rule.
  • Select the right enable rule respectively for Close Cart and Open Cart commands.




Publish Changes

Once all the above actions are completed, you must Publish all those changes to the CRM:



The Open and Close buttons are now available.

Display Smart CPQ PCF Components

OVERVIEW

When installing the MS Dynamics solution for Performance Quoting, a default Smart CPQ form is provided for the CRM Quote object. It contains both Smart CPQ widgets necessary to interact with Smart CPQ:

  • The Smart CPQ Steps navigator used to access any step of the quoting workflow in Smart CPQ.
  • The Smart CPQ Reports component used to generate documents based on the CPQ Quote content.

By default, both components are displayed in the CRM Quote form:



It may happen that you do not need to display both components in the CRM Quote form, if you do not use the Smart CPQ Document module for instance.

This page explains how to select which component to display.

QUOTE BUNDLE CONTROL

The two PCF components listed above are embedded into a dedicated control named the Quote Bundle Control. It can be modified in the solution you use in the CRM.

  • First step consists in logging in the make.powerapps.com portal with your credentials.
  • Make sure that you are in the right environment in the top menu bar.
  • Then access the Solutions section from the left panel and select yours in the list.


  • In the Objects section, search for the Quote. Click on Forms and edit the Smart CPQ form:


  • In the Summary tab, select the top right component:


  • In the right part, expand the Components section. Click on QuoteBundle Control V2:


CONFIGURATION OF WIDGETS VISIBILITY

When opening the QuoteBundle Control as described in the previous chapter, you should have access to an option named Widgets to display in Quote Bundle.

Three values are available:

  • Quote Steps Only: displays the Smart CPQ Steps widget only.
  • Report Templates Only: Displays the Smart CPQ Reports widget only.
  • Quote Steps and Report Templates: Displays both widgets.


Quote Steps Only

Here is the configuration to apply to display the Smart CPQ Steps widget only:



Click Done, and then Save & Publish.

You should see only the Smart CPQ Steps in the corresponding CRM Quote form:



Report Templates Only

Here is the configuration to apply to display the Smart CPQ Reports widget only.



Click Done, and then Save & Publish.

You should see only the Smart CPQ Reports in the corresponding CRM Quote form:

Here is the configuration to apply to display both widgets.



Click Done, and then Save & Publish.

You should see both components in the corresponding CRM Quote form:
