You can perform a keyword search across out-of-the-box and custom objects and fields.

To keyword search across objects and fields, turn off the Switch to Smart Search setting on the Smart Search tab. Toggled on, this setting enables natural language processing of the input text instead of a keyword search. For example, entering the keyword "account" in the search bar returns the results from configured objects and associated records in Salesforce. 

Prerequisite 

The objects and fields in the Registration Setting tab are configured. For more information, see To configure objects and fields in the registration setting.

To search for keywords across objects and fields

  1. Access Smart Search as described in To access Smart Search.
  2. Click the Smart Search tab.
  3. Turn off the Switch to Smart Search setting.
  4. Enter the keyword in the search box for the objects and fields configured in the Registration Setting tab.
  5. Smart Search displays the following in the search results.
    • A list of the objects and the associated records in different sections.
    • Default headings, which include the fields selected for the objects.
    • A record count, reflecting the number of associated records for each object in which hits were found.
  6. Click the <record ID> hyperlink in the search results to open the record.
    • The search result displays a minimum of five records in each section.
    • Use the (>) and (<) buttons to move to the next or the previous page in each section.
    • Use the (>>) and (<<) buttons to move to the first page or last page in each section.

To share search results

  1. Click the email header icon ( ) to raise the Share Search Results popup.
  2. Select None, HTMLExcel (.xls), Excel (.csv), or PDF  to specify the output format of the report.
  3. Enter the following details:
    1. From: Select an email address.
    2. To: Add email addresses of the recipients.
    3. Beside the To field, click CC to add "carbon copy" recipients.
    4. (Optional) Subject: A subject based on your search is already added. You can edit and customize this as needed.
    5. (Optional) The email body contains the search results, to which you can add context if required. 
  4. Click Share.

To export search results

  1. Click the export header icon ( ) to raise the Export Selected Files popup. This icon is available separately for each object in the search result.
  2. Select the file format to export the files. The available options are, XLS, PDF, and CSV file formats. 
  3. Enter a file name and click Export.
