Read-only clauses are clauses with content control boundaries whose text cannot be edited in a generated agreement. However, as a Contract Administrator, you can grant certain users the permission to unlock the read-only clauses in the agreement document. This feature gives you more control on clause access and you can speed up the review or negotiation process by allowing certain users to edit the read-only clause. You can use the custom permission XA_UnlockReadOnlyClause to give edit access to read-only clauses. This permission must be associated with the user's profile to provide the user the access to the read-only clauses. When you enable XA_UnlockReadOnlyClause custom permission for a profile, the users of that profile have access to the Unlock Clauses option in the Work tab. Clicking Unlock Clauses scans the entire document and unlocks the read-only clauses present in the document. Update from Salesforce does not impact read-only clauses.

You can delete a read-only clause when:

  • You have edit access to the read-only clause, which means, XA_UnlockReadOnlyClause custom permission is enabled. 
  • UnlockSmartElement custom setting is enabled, which means, the smartness property of the clause is unlocked.

Prerequisite

To unlock or lock Read-Only clauses

  1. Open Microsoft Word and launch the add-in.
  2. Log in to X-Author for Contracts Advanced.

  3. In the Contracts pane, go to Start tab, search and open a generated agreement document containing read-only clauses.
  4. Go to Work tab > Unlock Clauses. All the read-only clauses in the agreement document become editable.
    If there are no read-only clauses in the agreement document and you select Unlock Clauses, an error message is displayed.
  5. Make the required changes to the read-only clauses or delete read-only clauses.

  6. Go to Work tab > Lock Clauses.
    The read-only clauses cannot be modified. You cannot undo changes after the read-only clauses are locked.
  7. Check in the agreement document.
    If you do not lock read-only clauses and check in the agreement document, the read-only clauses get locked automatically.
