Smart CPQ Integration with Conga CLM

Learn how Smart CPQ integrates with Conga CLM to automate contract creation, synchronize quote line items, and manage contracts directly within Microsoft Dynamics 365.

The Smart CPQ and Conga CLM Integration connects your quoting process in Microsoft Dynamics 365 (MSD) directly to Conga CLM on the Advantage Platform.

Sales teams configure quotes using Smart CPQ within Microsoft Dynamics. When a quote is accepted, a contract record and its corresponding contract line items are automatically generated in Conga CLM. This eliminates manual data re-entry, avoids pricing discrepancies, and accelerates deal closure without requiring users to leave their CRM environment.

Key Capabilities

  • Automated Contract Generation from MSD: Trigger contract creation directly from Microsoft Dynamics when a Smart CPQ quote status changes to Accepted.

  • Line Item Synchronization: Commercial line items, including product SKUs, quantities, unit pricing, discounts, and billing frequencies, flow automatically into structured Conga CLM contract line items.

  • Embedded Experience in Dynamics: View, manage, and redline Conga CLM contracts directly inside an embedded Microsoft Dynamics iFrame with seamless Single Sign-On (SSO).

  • Two-Way Navigation:

    • Open the Conga CLM contract directly from the originating quote in Microsoft Dynamics.
    • Navigate from the Conga CLM Contract back to the MSD quote using the read-only Smart CPQ Quote Link field.
  • Bi-Directional Status Tracking: Track contract milestones (such as In Signatures or Fully Signed / Activated) directly from the quote record inside Microsoft Dynamics.

  • Support for Amendments & Revisions: Synchronize pre-execution quote line modifications to active contracts, or trigger structured amendment workflows in Conga CLM when finalized quotes are renegotiated.

Creating a Conga CLM Contract from a Smart CPQ Quote

Create and link a Conga CLM contract from a Smart CPQ quote in Microsoft Dynamics 365, ensuring contract details and lifecycle status are synchronized between both records.

  • You have access to Microsoft Dynamics 365 and the Smart CPQ application.
  • The Smart CPQ quote status is set to Accepted .
  • Single Sign-On (SSO) is enabled for Conga CLM within Microsoft Dynamics 365.
  1. In Microsoft Dynamics 365, open the target Smart CPQ Quote record.
  2. Verify that all product lines, quantities, discounts, and commercial terms are finalized.
  3. Go to the Contract Lifecycle Management section and verify the Contract Name is auto-populated (defaults to the quote name appended with the contract-for-quote text).
  4. Select the contract type from the drop-down, for example, SOW, NDA, and so on.
  5. Click Create Contract. For more information, see Contract Creation.
This opens the Contract Details page of the new contract record, inline within the Microsoft Dynamics workspace.
  6. Review the contract record in Conga CLM. Verify that counterparty details, contract dates, SKUs, quantities, and pricing are correctly mapped from the quote.
The status and status category of the contract record is Request/Request.
  7. Proceed to generate a contract document.
The status and status category of the contract record is Author Contract/In Authoring.
  8. Navigate to the Miscellaneous Section and click the URL in the External Navigation Url field.
Note: The link to the originating quote is stored in a field created on the Agreement object named ExternalNavigationUrl. By default, this field is on the default layout but hidden (visibility set to false). For Smart CPQ, administrators can enable its visibility and customize its display name, for example, Smart CPQ Quote Link, so it appears on the Contract Details page.
This opens the source quote in a new tab.
  9. Manage the contract through its lifecycle (such as authoring, review, and eSignature).
As the contract status transitions in Conga CLM (for example, to In Signatures or Fully Signed / Activated), the corresponding Status/Status Category under the Contract Lifecycle Management section in Microsoft Dynamics is updated automatically.
The Conga CLM contract is linked to the Smart CPQ quote. Both records maintain reciprocal navigation links, and contract milestone progressions are synchronized back to the quote in Microsoft Dynamics.
You can add more line items in Smart CPQ after the contract is created and push them to the linked contract. For more information, see Refreshing Contract Line Items from a Smart CPQ Quote.

Refreshing Contract Line Items from a Smart CPQ Quote

Synchronize an existing Conga CLM contract’s line items with the latest products and pricing from a linked Smart CPQ quote in Microsoft Dynamics 365.

  • You have access to Microsoft Dynamics 365 and the Smart CPQ application.

  • A Conga CLM contract has already been created from the Smart CPQ quote (the quote's status is Accepted).

  • Single Sign-On (SSO) is enabled for Conga CLM within Microsoft Dynamics 365.

After you create a Conga CLM contract from a Smart CPQ quote in Microsoft Dynamics 365, you can add or change products on the quote and push those updates into the linked contract. You synchronize the latest quote line items into the existing contract using the Refresh Contract action under the Contract Lifecycle Management section in Microsoft Dynamics 365.
  1. In Microsoft Dynamics 365, open the Smart CPQ Quote record that is linked to the contract.
  2. Add or modify the required products, quantities, discounts, or commercial terms on the quote.
  3. Go to the Contract Lifecycle Management section of the quote record.
  4. Click Refresh Contract.
  5. The latest quote line items, including newly added products and changed values, are synchronized to the linked Conga CLM contract. Line items already present on the contract are updated to reflect the current quote; existing commercial data is not duplicated.
  6. Open the Conga CLM contract and verify the updated line items in the contract's Line Items view.
Note: You can click Refresh Contract again whenever you make further changes to the quote. Each refresh re-synchronizes the contract with the current state of the quote line items.

After you refresh the contract, the Conga CLM contract’s line items match the latest products, quantities, discounts, and commercial terms from the linked Smart CPQ quote in Microsoft Dynamics 365.

Use Case: Creating Conga CLM Contract from an Approved Smart CPQ Quote

This use case describes how a Sales Operations team uses the bi-directional Smart CPQ–Conga CLM integration to automatically generate a governed contract in Conga CLM from an approved Smart CPQ quote, eliminating manual re-entry of quote data and keeping both systems aligned throughout the contract lifecycle.

  • A Smart CPQ instance integrated with Conga CLM through the configured Workato recipe.

  • Microsoft Dynamics configured as the CRM environment, with the Smart CPQ–to–Contract integration enabled in the CLM admin settings.

  • Administrator-defined field mappings between Smart CPQ quote objects and Conga CLM agreement objects (contract header fields and line-level fields).

  • A finalized Smart CPQ quote with Accepted status.

  • Single sign-on configured for Conga CLM Contracts within the Microsoft Dynamics iFrame.

This use case provides an example of how to create a Conga CLM contract from an approved Smart CPQ quote.

Business Context

Sales Operations teams at enterprise software companies lack a direct path from an approved quote to an executed contract. Without native integration between quoting and contracting, sales representatives manually re-enter quote data into contracts, creating pricing discrepancies, compliance gaps, and delayed deal closure across complex, multi-line enterprise deals. The Smart CPQ–Conga CLM integration removes these manual handoffs, ensuring commercial terms agreed in Smart CPQ are accurately reflected in the executed contract so Sales and Legal teams operate from a single source of truth.

Actors

  • A sales representative in an enterprise software company, responsible for finalizing quotes.
  • A CLM administrator in the enterprise software company, responsible for configuring integration rules and field mappings.
  • Conga CLM, which receives quote data and generates the contract.
  • Smart CPQ, which triggers contract creation and receives status write-backs.

Overview

This use case demonstrates how an approved Smart CPQ quote automatically generates a contract in Conga CLM, mapping quote header fields and line items into structured contract line items without manual re-entry.

When a Smart CPQ quote reaches Accepted status, Smart CPQ triggers the Workato recipe to generate the contract, auto-populating header fields (counterparty, term dates, contract type, currency) from quote metadata and translating quote lines (SKUs, quantities, unit pricing, discounts, billing frequency) into Conga CLM contract line items. The contract link is stored on the originating quote, and contract status changes write back to the quote.

Scenario

A sales representative in an enterprise software company finalizes a three-year quote containing 40 product lines for a counterparty. The representative needs the commercial terms agreed in Smart CPQ—counterparty, term dates, contract type, currency, product SKUs, quantities, unit pricing, discounts, and billing frequency—to appear accurately in an executed Conga CLM contract, and to route directly to Legal for redlining without manual data entry.

In this example, the CLM administrator has already mapped the quote header fields and line-level fields to the Conga CLM Contract and Contract Line objects.

  1. In Smart CPQ, the sales representative configures the quote with the 40 product lines and finalizes it.
  2. The sales representative moves the quote to the "Accepted" status.
On acceptance, Smart CPQ triggers the Workato recipe through an authenticated API call. The recipe creates the Account (if it does not already exist), the Contract, and the Contract Lines in Conga CLM using the mapped fields. The recipe returns the Conga CLM Contract ID to Smart CPQ, which stores the Contract record link on the originating quote.
  3. The sales representative is automatically navigated to the new Contract record, which displays inline within the Microsoft Dynamics CRM through the authenticated single sign-on session.
  4. The Contract Manager manages the contract lifecycle, routing to Legal for redlining and approval, within the embedded CRM experience.
  • A Conga CLM contract is created with header fields (counterparty, term dates, contract type, currency) auto-populated from the quote metadata.

  • All 40 quote lines appear as structured Conga CLM contract line items, with SKUs, quantities, unit pricing, discounts, and billing frequency mapped without manual re-entry.

  • The originating quote stores the Contract record link, and the contract stores the read-only External Navigation Url field, allowing bi-directional navigation.

  • As the contract progresses, status changes in Conga CLM (for example, "In Signatures" and "Fully Signed / Activated") write back to the Smart CPQ quote status in Microsoft Dynamics based on the configured mappings.
