This section describes updating and checking in the template. You can open (check out) any type of template from the repository and make changes to static text and other content in the document. When you are finished, you can check the template in and modify properties as needed (for example, changing which contract types it is associated with).

Prerequisite

You must have a template checked out or created to check a template in.

To update and check a template in

  1. Open a template in Conga for Google Docs.

  2. Click the Unlock () icon and select Acquire. You have now locked the template for editing.

    To avoid conflicts where two users might edit the same template simultaneously, the system allows updating the template after locking (acquiring). For more information on locking a template, see Locking and Unlocking Templates.

  3. Modify the template by updating the text content and adding or removing fields or clauses as needed. For more details about using fields and clauses in the template, see Working with Fields and Working with Clauses.

  4. Click the Finish button. The Check In pane appears in editable mode.

  5. Fill in or update the required fields.

  6. Disable the Active toggle to deactivate the template.

    If you deactivate the template, the system creates a new version on check-in but keeps using the active version to generate agreements, even if it is an older template version.

  7. Click Check In. A confirmation popup appears.
    • Click YES to continue working on a template. A latest version of a template opens in a new tab.
    • Click NO to complete check-in and close the popup.

The add-on pane details the opened template, its name, current version, local information, currency information, etc. Click the Lock () icon to prevent other users from editing this template.

An updated template record is created and stored in Google Drive, and your template is checked into Conga CLM. A template version is created and you can find a link to the Google Docs template under CLM > Templates > Open Template >  Versions > Related tab > Notes & Attachments. Click the Google Doc file link to open it.

The document opens in read-only mode. To edit it further, you must check it out using the Conga for Google Docs add-on.
