Use labels to mark, organize, and look up documents. 

Admin or co-admin users can define the labels that users can add to documents.

Users with editor- or collaborator-level document access to a shared document can add or remove labels from documents.

Administering Labels

To define a label

An admin or co-admin can define, browse, edit, and delete labels from the LABELS tab of the User Tags page.

  1. Select the User Tags button on the left sidebar to raise the User Tags window.
  2. Click the LABELS tab to open the labels list.
  3. Click the Add Labels button ().
  4. Enter a name and a description for the label, and pick a color for the tag if you need a distinct visual reference. 
  5. Click OK.
  6. The label is added to the list of available labels.

To edit a label

  1. Open the label list as described in To define a label.
  2. Select the label you will edit. 
  3. Click the pen icon to open the Edit Label dialog.
  4. Edit the label name, description, or color. 
  5. Click OK.
  6. The revised label is added to the list of available labels.

To delete a label

Note

You can only delete a label's definition if no documents have that label (the Instances column shows "0" for the label).

  1. Open the label list as described in To define a label.
  2. Select the label you will delete. 
  3. Click the trash icon.
  4. In the confirmation window, click YES.
  5. The label is deleted from the list of available labels.  

Using Labels

Users with editor- or collaborator-level document access to a shared document can add a label to or remove one using the Document View page.

To add or remove a label from a file

  1. From the Dashboard, Documents view, or Documents Stage, open a file.
  2. Click Label As from the top bar and select from the dropdown the label you want to apply.
  3. To remove a label, select from the dropdown the label you will delete and click the X to its right.

To add a label to a group of files or folders 

  1. Open the Documents view or Documents Stage. 
  2. Select files by selecting the checkboxes adjacent to their names.
  3. Click the More (vertical ellipsis) button above and to the right of the file list and select Label As > from the drop-down menu.
  4. Select from the list of possibilities the label you will affix to the documents.
  5. Click outside the selection area. Your selections are registered.
