Use Case: Restoring Asset Values on Reselection of Cancelled Options During Renewal

This use case provides an example of how to restore asset field values when a cancelled bundle option is reselected during a renewal in Conga CPQ.

  • You have an active bundle asset with at least one selectable option.
  • The administrator has added the following asset fields to the Asset Restore Fields setting: Quantity, Start Date, End Date, Location, ABO Number, ABO Picklist, ABO Text.
  • The sales representative has sufficient permissions to access the Installed Products page and modify the renewal cart.

Overview

During a renewal transaction in Conga CPQ, a sales representative may temporarily cancel a bundle option and then reselect it, either while pricing is being calculated or after the pricing run completes. Without a restore mechanism, this re-addition of the option would treat the line as a brand-new selection, losing all previously captured asset data such as quantity, location, and custom ABO fields.

Business Context

The Problem

In complex, multi-year enterprise agreements, customers commonly maintain bundle products that carry region-specific, contract-specific, or quantity-specific data captured at the time of the original purchase. During the annual renewal cycle, a customer success manager or sales representative may need to remove a bundle option to review its pricing impact, only to re-add it moments later. Under a default CPQ configuration, this re-add would reset all custom field values, including Location, ABO Number, ABO Picklist, and ABO Text, to blank, forcing manual re-entry and increasing the risk of data entry errors.

The Solution

The Conga CPQ Asset Restore Fields setting allows administrators to designate specific line-item fields whose values should persist through a cancel-and-reselect cycle. When this setting is configured and a renewal transaction is in progress, CPQ's restore logic automatically re-populates those fields from the underlying asset record the moment the option is reselected on the cart. Renewal start and end dates are restored to the renewal period (not the original asset dates) by default, while all other designated fields are sourced directly from the asset.

Actors and Roles

The following roles participate in this use case:
  • Sales Representative — Initiates the renewal from the Installed Products page and makes adjustments to bundle options on the cart.
  • CPQ Administrator — Pre-configures the Asset Restore Fields setting to include the relevant asset fields before the renewal workflow is triggered.
  • Conga CPQ — Performs the asset restore logic automatically when a cancelled option is reselected; no manual intervention is required.

Initial Asset State: A sales representative at a subscription-based software company manages an enterprise customer's annual renewal. The customer's current installed asset is a bundle (Bundle1) with a single included option (Option1). The asset details at the start of the process are as follows:

  1. Navigate to the Installed Products page.
  2. Select the bundle asset you want to renew.

Bundle1 is selected. Its current installed values (shown in 'Initial Asset State' section) are confirmed.

  3. Click Renew. The Confirm Renewal intermediate page is displayed.
  4. Select Retain the current Asset End Date and click Confirm.
  5. On the Mini-Cart, click View Cart.
The cart page opens displaying the renewed line items. CPQ has advanced the dates to the new renewal period and carried over all asset field values:

  6. Make the following changes to the option on the cart:
The sales representative adjusts the option to evaluate a shorter term, higher quantity, and different regional settings:

  7. Click the wrench icon () next to the asset.
The Configuration page is displayed, allowing the sales representative to adjust which options are included in the bundle.
  8. Deselect Option1, then immediately reselect it.

The option can be reselected regardless of the current state of the pricing calculation, both before the pricing run completes and after it finishes. This action triggers CPQ's asset restore logic.

  9. Click Go to Pricing.
CPQ completes pricing and returns to the cart. The restored values for Option1 are displayed:

After the sales representative reselects Option1 and navigates to the pricing page, Conga CPQ restores the following field values automatically from the underlying asset record:
  • Renewal Start Date and End Date are restored to the renewal period dates (01/01/2023 – 31/12/2023), not the original asset dates.
  • Quantity is restored to 1 (the original asset quantity).
  • Location is restored to IND.
  • ABO Picklist is restored to RED.
  • ABO Number is restored to 2.
  • ABO Text is restored to "Internal".
All changes made manually in Step 6, the shorter end date (30/06/2023), increased quantity (3), US location, YELLOW picklist value, and ABO Number 6, are discarded when the option is reselected. The cart reflects the clean, asset-sourced values as if the option had never been modified.
Note: CPQ restores renewal start and end dates by default, not the original asset start and end dates. All other fields listed in the Asset Restore Fields setting are sourced directly from the asset record.
Key Behaviours and Considerations
  • Timing of Reselection : The asset restore logic fires regardless of whether the option is reselected before or after CPQ completes its pricing calculation. This ensures that sales representatives can adjust and correct bundle selections at any point during the configuration workflow without losing data integrity.

  • Scope of Restored Fields: Only fields explicitly listed in the Asset Restore Fields setting are restored. Fields not included in that list retain whatever value CPQ assigns them at the point of reselection (typically blank or default). Administrators should review and update the Asset Restore Fields setting to align with their organisation's custom ABO field requirements.

  • Date Restoration Behaviour: The renewal start and end dates restored are the renewal period dates calculated by CPQ, not the historical asset start and end dates. This ensures that the renewed line item reflects the correct contractual period while still inheriting all other attribute values from the original asset.

  • Bundle vs. Option Scope: The restore behaviour applies to bundle options, not to the bundle header itself. The bundle (Bundle1) retains its cart-level values throughout the process. Only the reselected option (Option1) triggers the asset restore logic.
