New Features

The following features are new to Approvals in this release.

Real-Time Approval Updates Across Approval Center and MyApprovals

Approval actions now update instantly across Approval Center and MyApprovals, keeping approval information consistent in both views without requiring a page refresh. When users approve, reject, reassign, escalate, or recall requests, the latest status, assignee information, and approval history appear immediately across supported approval workflows.

Conga Approvals for Microsoft Teams Enhancements

The following enhancements add granular control over Teams notifications, in-Teams attachment and consolidated request views, and better sync with approval actions taken elsewhere.

  • Control Teams Notifications at Step and Rule Entry Level: Approvals supports Microsoft Teams notifications for approval requests in Standard, Child Process, and Sub Process steps. You can now control when and where users receive approval notifications in Teams. Configure Teams notifications using:
    • Notification Type in Approval Flows > Standard Step
    • Send Chat toggle in Rule Entries > Approvers Settings
The system sends Teams notifications only when the Chat Notification Type system property is set to Teams. If it is set to Off, the system does not send notifications, even if Teams options are enabled at the step or flow level. For more information, see Standard-Step Options and Modifying Rule Entries.
  • View Approval Attachments in Microsoft Teams: Microsoft Teams approval cards now display files attached to approval requests. You can open or download attachments directly from the Teams notification before approving or rejecting the request, eliminating the need to navigate to Conga Approvals to review supporting documents. Attachment links remain available for 7 days from the time the approval notification is generated. For more information, see Reviewing an Approval Request from Microsoft Teams.

  • Enhanced App Description for Conga Notifications for Teams: Enhanced the description of the Conga Notifications for Teams app to better reflect its full value beyond approvals. The updated description highlights how you can manage approvals and business workflows in one place. This improves clarity for users installing the app.

  • Teams Notifications for Consolidated Approval Requests: Receive consolidated notifications for multiple approval requests directly in Microsoft Teams, mirroring the functionality available in consolidated email notifications. Teams notifications support both parallel and sequential approval flows, sending notifications to all relevant approvers based on step-wise dependencies and allowing users to approve multiple sequential requests in a single response when assigned. Acknowledgement cards reflect the correct approver and step information for each approval action.

  • Microsoft Teams Rejection Acknowledgement for Email and My Approvals Actions: Conga Approvals now sends an acknowledgement card in Microsoft Teams when an approver rejects a request via email or the My Approvals page. The card reflects the rejected status and any rejection comments the approver provides, keeping the Teams thread in sync with actions taken outside of Teams. This behavior applies automatically to tenants with Conga Approvals for Microsoft Teams enabled. The administrator does not need to configure any settings. For more information, see Approvals in Microsoft Teams.

Approval Consolidation, Simplification, and Performance Improvements

The following enhancements improve consistency in cart cloning, approval sequencing, configuration, and performance at scale.

  • Approval Consolidation Now Supports Dependency Chains: Approval Consolidation now supports dependency chains between approval steps and rule entries. When multiple products in a cart trigger related approval rules, the system follows the configured approval sequence and activates each approver only after the preceding approval steps are completed. With this enhancement:
    • Dependent approval entries remain in a Waiting state until all prerequisite approvals are completed.
    • The system assigns approval requests to approvers only when it is their turn in the approval sequence.
    • Auto-approved entries are processed sequentially based on the configured dependency chain.
    • Approval statuses accurately reflect the progress of each approval step for both approvers and administrators.
For more information about configuring dependency chains with Approval Consolidation, see Approval Consolidation.
  • Streamlined Configuration for Sub-Process and Child-Process Steps: Auto Reapproval, Escalation Setup, and Reminder Setup options for Sub-Process and Child-Process steps are now configured through the associated Approval Rule and Rule Entry settings. The Approval Flow Workflow Builder no longer displays these settings at the process step level, helping simplify and standardize configuration. For more information, see Approval Rule and Approval Flow.

  • Approval Center Performance Improvements: The Approval Center now loads approval requests and counts faster and displays them in the correct order when scrolling through a large number of records. With this improvement, the Approval Center can efficiently handle 100,000 or more approval requests.

Approvals Usability and Configuration Enhancements

The following enhancements improve traceability, control, and flexibility across Approval Center and Approvals workflows.

  • Approval Custom Config: Header Link and Clickable Display Fields: Approvers can now quickly access related records directly from the Header section on the Preview & Submit and My Approvals pages. You can configure a record header link that appears above the request title on these pages. To support this functionality, the following new fields have been added to Custom Config Settings:
    • Header Link Field: Lets you select a field from the context object on which the Approval Flow is configured. The selected field appears as a clickable link above the record name.
    • Object Details Link Path: Specifies the relative URL for the custom object based on the custom configuration settings. The system uses this path to construct the complete navigation URL at runtime.
Based on these settings, lookup-type fields configured as Display Header Fields or Display Fields now appear as clickable links in the Approval Details view. Additionally, hovering over user account fields displays the corresponding user account details inline. For more information, see Creating an Approval Custom Configuration and Creating a Rule-Based Approval Flow.
  • Display Record Names with Direct Links: Approval History now displays the Object Name and Child Object Name, such as Clause, Line Item, or Quote, with a direct link to the corresponding record for each approval request. Selecting the record name opens the related record details page, enabling users to quickly access and review approval context. This feature depends on the Object Details Link Path setting in Approvals Custom Config, which the administrator configures for both parent and child objects. For more information, see View Approval History.

  • Approve and Reject Comments Functionality: You can now provide comments when you approve or reject single or multiple approval requests from the Approval Center for all supported objects. The comment field is required only if your administrator configures approval or rejection comments as mandatory. For more information, see Approval Center.

  • Control Visibility of Reassignment Options on Approval Pages: The Administrator can control the visibility of reassignment options on approval pages:
    • On the My Approvals page, the organization can request a configuration to hide the Reassign button from all non-admin users. When enabled, this configuration allows only the Administrator to view and use the Reassign option.
    • On the Approval Center, the Administrator can use the CX Studio Layout Editor to show or hide the Reassign to Me button. This setting applies to all users who use the layout, unless the Administrator configures a user-specific Approval Center layout.
  • Submitter Approval Notifications: Submitters can now receive email and Microsoft Teams notifications when an approval flow reaches a final Approved or Rejected status. Administrators can enable or disable this capability using the Enable Consolidated Notification on Approvals setting in Custom Configurations, and customize the email content using the Approval Email Template option in Notifications.

  • Support for CPQ Cart Versioning: Approvals now supports cart versioning in CPQ. Approval requests are associated with their respective cart versions, allowing users to view and manage approval requests independently for each cart version.

  • Backup and Delegate Screen: Improved Date and Time Labels: The Backup and Delegate screen now features improved date and time field labels for better clarity and usability. All related warning, success, and error messages now reference the updated labels for clarity. Key label updates include:
    • Effective Date to Effective From
    • Expiration Date to Valid Till
    • Cancellation Date to Cancellation At
  • Consolidated Notification Settings: Consolidated Notification Custom Settings for submitters now support multiple notification types. Administrators can select Email, Chat, or both to configure how submitters receive consolidated approval and rejection notifications. The settings are renamed from Enable Consolidated Notification on Approvals to Consolidated Notification on Approvals and from Enable Consolidated Notification on Rejections to Consolidated Notification on Rejections. For more information, see Creating an Approval Custom Configuration.

  • Consolidated Email Notifications for Parallel and Sequential Approval Requests: The consolidated email notifications feature now supports both parallel and sequential approval scenarios, sending notifications to all relevant approvers based on step dependencies. Approvers assigned multiple sequential steps can approve or reject all assigned steps in a single email response, provided the steps are consecutive; otherwise, separate notifications are sent for non-consecutive steps. For more information, see Understanding Approval Consolidation.

Slack Integration for Conga Approvals

The following enhancements bring approvals into Slack for faster, in-context approval actions, along with an updated system property reflecting Slack's addition to notification channels.

  • Slack Integration for Conga Approvals: You can now integrate Conga Approvals for Advantage Platform with the Slack application. Approvers receive direct notifications, view approval request details, and respond with approve or reject actions, including comments, directly within Slack. Approvers and requestors access the My Approvals page directly from Slack messages. Requestors also receive Slack notifications when their requests are rejected or auto-reapproved. The integration supports advanced approval workflows, including queues, user groups, ad-hoc approvers, and approval policies such as Majority and Percentage-based policies. Administrators enable this integration for their organization by installing the Conga Approvals app in their Slack workspace and enabling the Slack connector in Conga Platform System Settings. For more information, see Approvals in Slack.

  • Approvals System Property Update: Suppress Queue Emails system property is now Suppress Queue Notifications in the Approvals UI and the Approvals System Properties REST API, on both GET and PUT endpoints. This rename reflects the property's expanded scope: it now suppresses queue-targeted notifications across all supported channels, including email and Microsoft Teams. For more information, see Approval System Properties.
