Approvals in Microsoft Teams

The Conga app for Microsoft Teams lets you manage and act on approval requests directly inside Microsoft Teams without switching between applications.

When an approval request is triggered from a source application such as CPQ or CLM, you receive a notification in Microsoft Teams as an interactive card in a chat. You can review the request details and take action directly within Teams. Your response is processed immediately, and the approval status updates in real time in the source application.

After your account is linked, you can use Microsoft Teams to manage approval requests efficiently. This reduces the need to switch between applications and improves response time.

Intended Audience

This document is intended for the following users:

  • Approver: Reviews and acts on approval requests received in Microsoft Teams.
  • Requester: Submits requests for approval and monitors their status.

Linking Your Microsoft Teams Account with Conga Advantage Platform

  • You have installed the Conga app in Microsoft Teams.
  • You have an active Conga Advantage Platform account.

Link your Microsoft Teams account with your Conga Advantage Platform account to enable approval notifications and workflows. After linking your accounts, you receive approval request notifications and status updates through both email and Microsoft Teams.

  1. Go to Microsoft Teams app > Apps > Built for your organization.
  2. Locate the Conga app tile and click Add. A success message appears.
  3. Open the Conga app using one of the following options:
    • In the success message, click Open.
    • In Microsoft Teams, click Apps from the left navigation pane. Search for the Conga app, and open it.
    The Welcome message opens in the Conga app.
  4. Follow the on-screen instructions to link your Microsoft Teams account with your Conga Advantage Platform account.
You receive an Authentication Successful card notification in Microsoft Teams. You can now receive and act on approval notifications.

Reviewing an Approval Request from Microsoft Teams

After the Approvals app is installed, you receive approval requests as interactive cards in Microsoft Teams. You can review request details and take action directly from the card.
Note: If consolidation is enabled, approving a request may process multiple requests assigned to you at the same time. For more information, see Approval Flow Settings.
  1. Open Microsoft Teams.
  2. Locate the approval notification in a chat.
  3. Click the approval card to open it. Each card displays the following information.

    Field

    Description

    Assigned ByThe name of the user who assigned the approval request to you.
    Request TitleThe title of the approval request.
    StatusThe current status of the approval request.
    Request DetailsAdditional fields such as names, quantities, prices, and adjustments, based on the source application.
    View in ApprovalsOpens the My Approvals page, where all requests assigned to you are listed.
  4. Review the request details, including the summary, submitted data, and approval context.
  5. Click Approve or Reject.
  6. Enter comments.
  7. Click Submit.
Your response is submitted and the approval status updates in real time in Microsoft Teams and the source application. The action is recorded in My Approvals and logged in the Comments section.
