Approvals in Microsoft Teams

The Conga app for Microsoft Teams lets you manage and act on approval requests directly inside Microsoft Teams, without switching between applications.
Note: This feature is enabled upon request. Contact your Conga support representative to have Microsoft Teams integration enabled for your Conga Advantage Platform organization.

When an approval request is triggered from a source application such as CPQ or CLM, it reaches the assigned approver in Microsoft Teams automatically. Their response is processed immediately, and the approval status updates in real time, both in Teams and in the source application.

Setting up and using this integration involves three steps, each handled by a different role in your organization:

  • Your Microsoft Teams IT Administrator uploads the Conga Approvals app to the Microsoft Teams Admin Center, making it available to users across the organization. For more information, see Uploading a Conga Application in Microsoft Teams.
  • Your Approval Admin then links the Microsoft Teams account with the Conga Advantage Platform account, which enables approval notifications for all users in the organization. For more information, see Linking Your Microsoft Teams Account.
  • Once linked, an Approver receives approval requests as interactive cards directly in a Teams chat. They can review the request, open any attachments, approve or reject it, and add comments — all without leaving Teams. For more information, see Reviewing an Approval Request from Microsoft Teams.

Uploading a Conga Application in Microsoft Teams

Audience: IT Admin

The Approvals package (.zip file) is available on your system. Contact your Conga support representative to obtain the latest application package file.

Upload the Conga Approvals app package to the Microsoft Teams Admin Center to make the app available to users in your organization.
  1. Go to Microsoft Teams Admin Center > Teams apps > Manage Apps.
  2. Click Actions, then select Upload new app > Upload a custom app.
  3. Click Upload.
  4. Browse to the location where you saved the Approvals package (zip file).
  5. Select the package file and click Open. The file uploads successfully.
  6. Click Add.
The uploaded app is available to users in your organization after a few hours. To verify, search for the Conga app in All Apps.

Linking Your Microsoft Teams Account with Conga Advantage Platform

Audience: Approval Admin

  • You have installed the Conga app in Microsoft Teams.
  • You have an active Conga Advantage Platform account.
  • Before linking your account, ensure that the Chat Notification Type system property includes Microsoft Teams, and that the Notification Type at the approval flow step level or rule entry level is set to Send Chat. for more information, see Approval System Properties Details.

Link your Microsoft Teams account with your Conga Advantage Platform account to enable approval notifications and workflows. After linking your accounts, you receive approval request notifications and status updates through both email and Microsoft Teams.

  1. Go to Microsoft Teams app > Apps > Built for your organization.
  2. Locate the Conga app tile and click Add. A success message appears.
  3. Open the Conga app using one of the following options:
    • In the success message, click Open.
    • In Microsoft Teams, click Apps from the left navigation pane. Search for the Conga app, and open it.
    The Welcome message opens in the Conga app.
  4. Follow the on-screen instructions to link your Microsoft Teams account with your Conga Advantage Platform account.
You receive an Authentication Successful card notification in Microsoft Teams. You can now receive and act on approval notifications.

Reviewing an Approval Request from Microsoft Teams

Audience: Reviewer

After the Approvals app is installed, you receive approval requests as interactive cards in Microsoft Teams. You can review request details, access attached documents, and take action directly from the card.
Note: If consolidation is enabled, approving a request may process multiple requests assigned to you at the same time. For more information, see Approval Flow Settings.
  1. Open Microsoft Teams.
  2. Locate the approval notification in a chat.
  3. Click the approval card to open it. Each card displays the following information.

    Description

    Assigned ByThe name of the user who assigned the approval request to you.
    Request TitleThe title of the approval request.
    StatusThe current status of the approval request.
    Request DetailsAdditional fields such as names, quantities, prices, and adjustments, based on the Display Fields configured at the Approval Flow Step. For more information, see Approval Flows.
    Attachment(s)Displays files attached to the approval request. Click an attachment to open or download the file directly from Microsoft Teams. Attachment links remain valid for 7 days from the time the approval notification is generated. After the link expires, access the attachments from Conga Approvals.
    View in ApprovalsOpens the My Approvals page, where all requests assigned to you are listed.
  4. Review the request details, attached documents, submitted data, and approval context.
  5. Click Approve or Reject.
  6. Enter comments.
  7. Click Submit.
  • Your response is submitted and the approval status updates in real time in Microsoft Teams and the source application. The action is recorded in My Approvals and logged in the Comments section.
  • If you approve or reject a request through email or the My Approvals page instead of Microsoft Teams, Conga Approvals sends an acknowledgement card to your Teams chat confirming the action, including any comments you provide.
